Job Description

Psomas, one of the top-ranked consulting engineering firms in the nation, providing surveying, engineering, construction management and environmental services throughout the Western United States, has an opening for an Executive Administrative Assistant to the CEO and General Counsel in our Los Angeles office.

The Executive Assistant will manage a complex and dynamic calendar, scheduling all internal and external meetings, travel arrangements, conference calls and day-to-day activities for these executives. The successful candidate will be a highly resourceful professional with the ability to work efficiently, effectively and with a sense of urgency in a fast-paced environment with constantly changing schedules and priorities. Responsibilities include but are not limited to:

* Pro-actively manage the day-to-day calendars, schedule meetings, and resolve scheduling conflicts; work with executives to identity highest priority items/meetings.
* Coordinate all travel arrangements including car transportation, hotel accommodations and airfare; coordinate out of town office/workspace for executives when traveling.
* Prepares, distributes and tracks various communications, including but not limited to: Monthly Board of Directors packet, meeting agendas, reports, memos, letters, and other documents.
* Performs administrative tasks, including, but not limited to: filing, copying, faxing, event or conference registration, subscription or license/certification renewals, routing mail and other correspondence, taking notes, drafting letters and documents, and initiating/receiving phone calls.
* Process invoices.
* Maintain filing systems (Electronic and hard files).
* Developing and maintaining professionalism among staff and clientele while also upholding a strict level of confidentiality.
* Keeping organized and detailed records for all pertinent information.
* Compile special reports, organize data, and create presentations as needed.
* Screen and route phone calls and e-mails with the utmost professionalism.
* Ensure executives have agendas, materials and documents in advance of meetings; assist with creating presentation materials as needed.
* Collect, organize, create and submit all expense reports in a timely manner for executives.
* Orchestrate a variety of corporate staff or industry arrangements for both onsite and offsite events.


* Must have a minimum of 5-7 years of experience supporting a senior level executive.
* Education and/or experience equivalent to a minimum of a Bachelor's with a degree in Business preferred.
* Positive, proactive and able to always exercise great judgment.
* High-level skills in Microsoft Office, including Outlook, Word, Excel, and Power Point.
* Outstanding communication skills.
* Excellent written skills.
* Strong attention to detail.
* Ability to prioritize and handle a significant volume of diverse tasks, activities and projects, while managing recurring deadlines.

A plus:

* Experience with Legal Holds.
* Experience editing/drafting articles for in house use or publications.
* Experience with Zoom and A/V set up for meetings or events.
* Certified Notary Public
