The job of an Administrative Assistant involves answering phone calls, managing visitors, taking telephone messages for staff in a professional and efficient manner. In addition, the Administrative Assistant must perform various clerical duties, and perform cross-departmental tasks as requested by Office Manager.

* Knowledge of customer service practices and principles.
* Strong keyboard skills.
* Good communication skills and professional personal appearance.
* Ability to confidentially manage information.
* Organizing, planning, and multi-tasking abilities.
* Great attention to detail.
* Should be honest, respectful, and trustworthy.
* Should be flexible.
* Good computer skills including Word, Excel, Outlook, internal systems, etc., and can use a smart phone and tablet as needed.


In order to succeed, the employee in this position must effectively perform these tasks:

* Follow up and complete assigned tasks immediately or report the reason for lack of completion in a timely manner. This includes following up with all associates to ensure they have completed jobs/tasks and/or returned phone calls assigned to them. In this position, telephone calls are the primary means of communication. Emails are secondary.
* Answering telephone calls, taking and relaying messages.
* Scan all invoices weekly and file them on the server utilizing the file structure in place.
* Providing information to callers and visitors, greeting persons entering and directing individuals to correct destination.
* Dealing with queries or requests from the customers and public.
* Providing general clerical and administrative support to all and taking direction from the Office Manager for any and all types of tasks.
* Filing as requested or directed.

work experience/Qualifications required

* Functional in computer programs and hardware such as Word, Outlook, Excel, internal programs, smart phones and tablets.
* A High School Diploma
* Presence of mind, excellent organizational skills, and the ability to learn and adapt quickly.
