SUMMARY

The Executive Assistant, under general supervision and acting on own initiative, performs diverse and advanced administrative and secretarial duties. Assignments involve work of a confidential or complex nature, necessitating exposure to large amounts of sensitive information and contacts requiring considerable discretion, judgment, tact and diplomacy as well as a thorough knowledge of the practices and procedures of the function, general organizational structure, policies and programs. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Facilitates matters in connection with the Executive Office, including administrative and secretarial detail.  Performs expediting, problem solving and service support to organizational and outside contacts, as required.  Interprets and makes judgments relating to appropriate administrative decisions.  Refers information and/or questions to responsible individuals as required.

     

  2. Displays discretely with sensitive, confidential information concerning professional and personal performances of staff and information concerning hospital affairs contained in minutes, correspondence, memoranda and other documents.

     

  3. Prepares, composes proofs and edits internal and outgoing correspondence and reports. Takes and transcribes minutes.  Types and distributes a variety of material, such as correspondence, memorandum, reports, charts, statistics, manuals, agendas, calendars, minutes, etc.

     

  4. Transcribes, types, process and distributes a variety of material, such as correspondence, memoranda, reports, charts, statistics, manuals, agendas, calendars, minutes, etc., as assigned.  Prepares and processes expense reports.

     

  5. Coordinates and tracks workflow, schedules, projects, committee decisions through the department or hospital to ensure paperwork is complete and appropriate, and follow up services are provided in a timely fashion.

     

  6. This document represents the major duties, responsibilities, and authorities of this job, and is not intended to be a complete list of all tasks and functions. Other duties may be assigned.

     

    Education and/or Experience                                                              

    High School diploma or equivalent required.

     

    Associate’s degree in Business preferred.

     

    Minimum four years of related experience or equivalent required with minimum two years of executive level experience.

     

    Computer Skills                                                          

    Ability to type 60 – 75 wpm required and previous experience with Windows-style applications, word processing systems, and spreadsheet applications is required. Transcription skills as well as ability to take meeting minutes is required.

     

    Certificates, Licenses, Registrations

    Valid Illinois driver’s license, access to vehicle and proof of auto insurance may be required.
