Job Description

Position Summary:

Power Presentations is seeking a part time (estimated 20-30 hours per week), results-oriented Office Assistant to play a vital support role in helping coordinate our training programs and day-to-day office operations.

This diverse position will require you to be detail-oriented, organized, technologically savvy, energetic, possess good writing skills and work well as a part of team or independently. We are a small office with big aspirations to take our company to the next level. You will be working with an extremely fast-paced, deadline-driven, and result-oriented team both in our Brecksville office and virtual team members. Typical working hours are estimated to be 20 hours per week. During times of high work-load, hours may increase as high as 30 hours per week. Work times may be flexible around your schedule and needs.

Typical Duties May Include:

Program/Office Administration:

  • Manage Public Program including: Participant enrollment process, maintaining and distributing program information sheets and communications with host venue
  • Perform program setup, including travel logistics, materials shipments and client contact
  • Coordinate custom materials fulfillment including ensuring proper documents are being printed, assembling, shipping and tracking
  • Manage relationship with third-party fulfillment partner
  • Monitor program materials orders for accuracy and timeliness
  • Data entry of all contacts
  • Data entry of all contacts into e-newsletter system
  • Attend phone calls and virtual meetings to record notes and help with follow-up as needed
  • Arrange and manage travel and lodging for PPI professionals
  • Print and distribute trainer manuals
  • Review proposals and manuals to ensure proper grammar and punctuation
  • Generate post-program evaluation reports and distribute as needed
  • Order program food

Misc.

  • Assist staff with various projects as assigned - these projects will be your opportunity to be creative, improve efficiency, and contribute to the bottom line
  • Maintain office inventory of office supplies, shipping supplies etc.
  • Answer phones, check voicemail
  • Receive and distribute mail and packages
  • Ship website/product orders
  • Internet research capabilities necessary
  • Misc. tasks for the PPI President, both personal and business

Requirements:

  • Prefer a minimum of five years of office experience
  • Must be VERY organized, self-disciplined, and goal-oriented: We have a great team environment to help whenever you need it, but you will need to work independently without being micromanaged and meet deadlines
  • Must be technically savvy with Microsoft Office products, specifically Excel, PowerPoint, and Outlook.
  • Experience with virtual meeting platforms such as GoToMeeting, WebEx, and Zoom is helpful but not required
  • Must thrive on juggling multiple projects, excel at balancing your time and priorities, and remain calm under pressure
  • Must be able to see the big picture, be proactive, and make decisions and recommendations based on the bottom line
  • Must thrive in a fast-paced work environment: We don't go SLOW, so if FAST is your speed you will be in your element!
  • Possess a take-charge attitude and not accept defeat easily!
  • Experience with CRM software is helpful but not required
