Job Description

Here's where you come in:

In the role of Operations Manager, you will assist with the oversight and coordination of Playworks' Regional Office administrative and capacity building projects, events and functions. This position is a key resource in advancing Playworks' goals and will work with Playworks staff and Americorps Members as well as with external partners, donors, and volunteers to create and grow a sustainable and well-organized community-based organization.

Specifically you will manage the regional office in the following ways-

Regional Office Operations and Administration:

* Drive recruitment strategies for AmeriCorps members, regional program staff, office staff, volunteer, and intern openings.
* Support hiring process for regional roles including screening applicants, scheduling interviews, and participating in the interview process.
* Oversee HR/personnel administration, including compliance, recordkeeping, onboarding and offboarding (background checks, CPR, First Aid and TB tests), including compliance with state grant positions.
* Operate as Salesforce database management and other systems such as videoconferencing, software, etc. expert. Provide or arrange instruction and support to regional office staff, etc.
* Assist regional office directors in development, creation and maintenance of office systems, processes and procedures. Manage the acquisition, update and support of office systems, supplies, equipment, procedures and processes in collaboration with national office teams.
* Plan, organize and coordinate staff meetings, including securing space, food, etc. for successful collaboration.
* Submission of check requests and timely payment of general invoices to support regional finances. Oversee expense reports and credit cards systems in the office.
* Responsible for locating and securing new office space, up to and including lease negotiations and signing, organizing office relocations, assigning and setting up workspaces for staff. Once secure oversee office management.
* Oversee team health initiatives (office recess, funsies, holiday party, end-of-year party, sunshine committee).
* Ensure smooth general office operations, regional personnel support, and general support (including checking voicemails, establishing mail collection and delivery, general office cleaning schedule).
* Partner with National Office HR, Finance, Solutions and Operations departments and manage local rollout for projects and initiatives as needed.

Business Development/Fundraising

* Support Executive Director with board meeting coordination, materials and communication. Support regional directors with coordination of other regional volunteer committees.
* Organize and coordinate fundraising and business development activities and events including logistical support and follow-up activities for space, donations, logistics. Work collaborative with key development personnel to support.
* Oversee salesforce database and run requested reports to drive productivity and regional business development efforts.
* Support annual campaigns for end of year appeal and spring appeal.

School Programs and Partnership Engagement:

* Generate and manage distribution of school fee and training invoices as per schedule determined by contract.
* Track and report on school fee and training collection to Regional Partnership Director, Program Director and Executive Director.
* Maintain files for all school partnerships while updating Salesforce.
* Serve as main point of contact around school fees, attend MOU signings, serve as main contact for school accounts payable.
* Serve as contact for external partners. May attend, assist and represent Playworks at external partner events/functions, speaking engagements, tours, and other programs.
* Support key program events such as 5K, sports leagues and junior coach conferences. Includes finding space, permitting, managing logistics, creating schedules.
* Secure volunteers for all Playworks programs and events and serve as point of contact for onboarding and training. Oversee volunteer projects in schools in coordination with program and development teams.
* Ensure snacks and food systems for all students participating in Playworks programs.
* Manage assessments, audits, and other data collection processes to ensure compliance and timely completion.
* Monitor annual survey results, keep team updated on participation numbers, manage participation incentive program when needed.
* Identify additional data points needed and develop a plan to collect and analyze each.
* Serve as point of contact for external data collection partners.

Required Skills & Experience

* At least 3 years of relevant work experience, preferably with nonprofits, fundraising and/or education/school/youth development services
* College degree or similar combination of experience and education preferred
* Solid supervisory, project management and external partner/client management experience.
* Strong presentation and communication skills both verbally and in writing with experience communicating effectively with broad and diverse audience
* Ability to communicate/interact professionally and effectively with a broad and diverse range of individuals (includes executives, business leaders, coworkers, students and teachers, variety of cultures and backgrounds)
* Demonstrated database management skills.
* Advanced computer skills, especially MS Word and Excel with ability to learn new technology quickly. Knowledge of Salesforce is a plus.
* Ability to problem solve, set priorities and juggle competing demands effectively
* Comfort with a playfully professional workplace culture. Interest in and commitment to the tenets of AmeriCorps, volunteerism and national service programs. Experience working with an Americorps program a plus!
* Passionate commitment to Playworks' mission and vision to improve outcomes for children and schools.
* This position may require travel to various regional locations.
