Job Description

The incumbent assists Division of Neuroradiology with administrative and operational support to allow for the Division to function smoothly on a day-to-day basis while maintaining the confidentiality of sensitive information. The incumbent performs both comprehensive and detailed administrative duties while maintaining a close and highly responsive relationship to the physician staff. The employee will work independently and efficiently while receiving minimal supervision and guidance, possesses expert knowledge of office routine, as well as understanding of the organization, programs and procedures related to the work of the Division.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

* Provide general administrative assistance to the Division of Neuroradiology with a focus on supporting the Neuroradiology Fellowship Director and other leaders within the division. This includes, but is not limited to, tasks such as calendar management, travel arrangements, meeting planning and expense processing.


* Responsible for fellowship recruitment process including tracking of complete applications and setting up & communicating interview schedules.


* Assist the Neuroradiology Fellowship Director with running the fellowship program which includes working with the credentialing coordinator to make sure credentials are complete both at MGH and other institutions where needed, updating and maintaining the information in the ACGME, AAME, and New Innovations website and, setting up meetings.


* Maintain and order when needed, pagers and white coast for all physicians in the division.


* Assist the division leadership in building the physicians daily schedule using the software platform OpenTempo. This includes making updates to the schedule as needed and processing vacation & conference requests.


* Assists in Neuroradiology in procedure scheduling which can sometimes include coordinating with the anesthesia team.


* Establish and maintain office systems (i.e. filing systems) and procedures for the division/office for smooth functioning of workflow. Create and maintain Standard Operating Procedures.


* Maintain office space as it relates to housekeeping needs.


* Independently maintain, track and update files for the Division on a regular basis.


* Order office supplies and arrange for service to office equipment such as printers and computers.


* Maintain familiarity with all applicable Partners guidelines.


* Coordinate meetings, luncheons, lectures, conferences, etc. including scheduling, preparing agenda, distributing reminders, and arranging for refreshments, conference room, and transportation as needed.


* Perform internet or library research as needed.


* Assist in the preparation and presentation materials, including, but not limited to graphics, slides, etc.


* Provides support and coverage for other staff assistants in the department as needed.


* Proficiency in Microsoft Outlook, Office, Excel, and other Microsoft Office applications
* Ability to learn new computer applications quickly and use them efficiently
* Ability to make decisions quickly and independently
* Excellent interpersonal/communications skills
* Ability to interact with individuals in senior leadership roles at Partners HealthCare and throughout the industry
* Creative thinking, a willingness to learn new things, problem solving and an ability to handle multiple projects are expected
* Ability to handle sensitive/confidential matters discreetly and maintain confidentiality guidelines
