We are looking to hire a Air Export Document Processing Agent (CHI-145857) to prepare air export shipments with high accuracy and compliance by using proprietary forwarding applications & job costing templates while ensuring operational excellence and high productivity in cooperation with the Customer Service & Document Preparation staff. Position is located in Elk Grove Village IL.


• Prepare and issue documentation as per customer template or file folder completed by Document Preparation team

• Communicate with Document Preparation group any defects found in freight instructions, file folders, checklists

• Enter process defects into Incident Handling Tool

• Ensure highest level of data quality by processing the shipment accurately

• Accurate FOS & systems processing of HAWB according to Document Processing instructions

• Release Warehouse labels to Warehouse In Bin

• COMBAS Entry and updates

• INTRAC Entry and updates

• Pantrace updates when required

• Monitor the release DDB shipments

• AES Entry according to Panalpina Compliance Procedures, verify results and make corrections if necessary

• Accurately fill out and complete the Document Processing Check List

• Uploading prealerts and relevant documents into E-Filing

• Split and distribute documentation pursuant to customer and Panalpina SOP

• Assure that file contains all necessary document copies in proper sequence

• Send Prealerts per customer and Panalpina SOP

• Ensure the customer invoice is dispatched with other necessary documents via E-billing (accurate data processing) USPS, or courier, as per customer SOP in a timely manner

• Complete daily Miami and Huntsville Trucks HAWB, manifests and warehouse load guides

• Filing of HAWB files in file cabinets and updating old files with documentation when necessary


• Knowledge of freight forwarding and regulatory requirements with proven track record of 1 year of industry, or comparable, experience

• IATA DGR Certification preferred; If certification is not had, then first available initial or recurrent training course must be passed in order to maintain employment

• Proficient in MS Office applications


• Excellent communication skills

• Strong interpersonal skills to effectively interact with supervisors, counterparts and internal service providers

• Good judgment skills and ability to make tactical decisions
