* Improve project delivery in terms of time (progress), budget (costs) and quality by providing the required structure to apply the Panalpina Project methodology and mitigating of risks
* Provide advanced specialist services besides basic support services:
* Providing estimating, scheduling and risk management expertise to PMs
* Monitoring and reviewing project performance, resource utilization & lessons learned
* Monitoring & reviewing business case

* To maintain standards related to project management methodologies & tools
* The PMO serves as an organization's central hub for project documentation, guidance and support across the projects


Administration & Office Management

* Organize and prepare project & steering meetings, calls, WebEx, etc.
* Prepare and communicate the minute of meetings (MoM)
* Responsible for all program documentation (MoM, create / deliver presentations and documents, manuals)
* Record & follow up on actions defined during STC Meetings

Policies & Standards

* Ensure storage of all PMO-related documentation in the relevant PMO site in SharePoint
* Define Document Sharing Guidelines:
* Define the sensitivity of the document types / groups within the SAP TM project
* Define the sensitivity for additional project document types / groups
* Update / complete Document Sharing Guidelines

* Create, distribute (after review) and store different Minutes of Meeting (MoM)

Plan Creation, Plan & Time Management

* Support the OTP Project Managers / Project Team in:
* Reviewing / Updating the approved baseline project plan
* Managing Actuals and Time Tracking
* Monitoring Past Due Milestones, Tasks
* Update / re-baseline project plan according changes, approved by all stakeholders

Risk & Issue Management

* Support the project managers in tracking regularly the risks / issues to ensure a timely resolution and awareness on project level
* Oversight the issue resolution process
* Monitor resolution and ensure forecast resolution / mitigation dates are adhered to
* Maintain the risk and issue log, update in case of status updates
* Incorporate actual risk status into the status report
* Generate issue reports for Issue Meetings and ad-hoc requests

Resource Management

* Support the Project Managers in verifying / confirming the resource plan
* Effort tracking: consolidation and controlling of spent effort, consolidation of remaining effort estimations (incl. subcontractors)
* Follow up on outstanding resource requests
* Update the project resource plan, financial forecasts, distribution lists and project organization charts to include new resources

Value Tracking (Monthly Cost Tracking)

* Perform cost controlling activities, incl. cost allocation on a monthly basis
* Reconcile accounting reporting with project reporting
* Keep costs under control

* Support the budgeting & forecasting process:
* Expenses and FTEs

* Extract / download reports from SAP BW & ERP
* Validate / analyze & interpret data:
* Check if the data is up-to-date and in the expected detail and format
* Perform root-cause analysis in case of discrepancies
* Translate analysis results in guidelines as basis for decision

* Execute ad-hoc requests

Project Communication

* Support the development of a communication structure/concept
* Execution of communication tasks according elaborated concept
* Ensure regular project updates on Intranet (k-web)
