Requisition Summary

The Project Administrator will be responsible for assisting the Corporate Property group project managers with all aspects of project delivery. Primary responsibilities will include vendor relationship management, contract administration, budget and schedule tracking, invoice processing, and project records organization. Projects will range in scope from ground-up new manufacturing and distribution facilities to expansions and renovations. PACCAR facilities include major truck manufacturing sites around the globe, parts distribution centers, product technology development facilities, and various supporting offices and other sites. The objective is to smoothly deliver new facilities to internal customer teams while ensuring optimal cost, schedule, and quality.

The successful candidate will help the team achieve excellence in project delivery by organizing processes and keeping an analytical approach. High transparency and clear communications are attributes to enable exceeding team expectations.

Job Functions / Responsibilities

Project Management Support

  • Report directly to the Executive Director of Property and Environment
  • Assist construction project managers in setting up project scopes, budgets, and schedules
  • Communicate project matters with internal and external stakeholders
  • Manage internal project approval documents including contracts and purchase orders
  • Organize and keep project records
  • Assemble and distribute requests for proposals to potential vendors
  • Arrange project team meetings
  • Work closely with Corporate support functions including Law Department, Accounting, Risk Management, Credit, and Purchasing to coordinate required internal project support
  • Set up vendors with Corporate Accounting and manage timely invoice processing
  • Track invoices against project budgets
  • Prepare periodic update reports to the Executive Director
  • Assist field-based facility teams in coordinating with the Property Team
  • Contribute as needed to the Corporate Property and Facilities administration team with minor general administrative duties including telephone coverage and meeting support
  • Accept minor organizing roles as needed with related ancillary Property Group responsibilities including operations of corporate facilities, the corporate yacht, and corporate property.

Qualifications & Skills

  • Demonstrated experience in project assistant roles including vendor relationship management, corporate accounting practices, and budget monitoring
  • Experience in construction, particularly corporate or industrial scale construction
  • Proficiency in Word, Excel, PowerPoint, and Microsoft Project
  • High communication skills


Bachelor’s degree in accounting or construction-related desired
