Job Description

POSITION SUMMARY: Oversee administrative functions related to contract fulfillment, shipment document preparation, and transportation scheduling. Invoice customers/brokers and ensure all necessary testing, treating, and product preparations are completed to contract specifications. RESPONSIBILITIES/DUTIES: -Ensure complete compliance with all food facility processing standards and regulations -Ensure all shipments meet contract requirements and deadlines for international product movement -Communicate production schedules and contract specifications to plant supervisors -Work closely with production supervisors to facilitate plant efficiencies and product quality -Prepare production reports for manager and executives on product inventory, grower quality and volume, and pricing -Work with brokers and freight companies for product shipments -Prepare all customer invoices -Prepare all shipping manifest -Approve and code all vendor invoices for plant operations -Monitor all USDA quality control reports and sampling reports -Work closely with accounting and administrative staff on all levels to ensure accurate and timely financial reporting -Prepare weekly time reports for hourly employees -Work with management team and plant personnel on safety and employee training -Responsibilities are not limited to the above, but will include various tasks and analytical functions as may be needed on a daily, monthly, or ad-hoc basis EDUCATION/EXPERIENCE DESIRED: -High school graduate or equivalent required -Bachelor's Degree with emphasis on business, manufacturing, food processing, or logistics preferred -Job related experience may be used in lieu of preferred education -Experience with NutWear software preferred SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC: -Must be able to read on a college level and to articulately communicate orally and in writing to audiences including hourly employees -Must be proficient in computer and software program usage to include all Microsoft Office applications SUPERVISORY RESPONSIBILITIES: -This job includes supervisory responsibilities for all subordinate plant administrative employees. PHYSICAL DEMANDS/REQUIREMENTS (Lifting, Bending, Stretching, etc.) -Dexterity of hands and fingers to operate a computer keyboard, mouse, and to handle other computer components. -Lifting and transporting of moderately heavy objects, such as computers and peripherals. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand, walk, use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift or move up to 10 pounds and occasionally lift or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus WORK ENVIRONMENT: -This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Position also requires time in production facility with high noise levels and possibly dusty conditions. ADDITIONAL COMMENTS Must be a team player who is willing to cooperate with others.
