Job Description

Purpose and Job Summary

As a member of the Human Resources team, the Human Resources Coordinator performs a variety of processes, programs, and projects in support of a the company's human capital and employment initiatives. The qualified candidate should have demonstrated experience as an administrative assistant or coordinator, a polished, professional appearance and demeanor, and a desire to grow their career in the human resources field. Essential Duties & Responsibilities

Recruiting -

* Scheduling of candidate interviews, including phone, office, and Skype, participating in interviews as requested
* Interview and training coordination, including Outlook meeting invites, conference rooms, etc.
* Draft and send communications internally and externally in regards to candidates
* Book travel and lodging arrangements for non-local candidates
* Sourcing and identification of qualified candidate pools for openings
* Book and coordinate conference rooms for interviews and meetings; host candidates and visitors, notifying appropriate parties of candidates coming into office
* Coordination and administration support for job descriptions, new hire offer letters, candidate tracking, etc.
* Conduct assessments and pre-employment process; references, background checks, drug screening, etc.
* Partner with Talent team on supporting HRIS tracking (Workday), college recruiting, and social media efforts

Onboarding/Orientation/Off-boarding-

* Partnering with the Talent team in coordination for new hire and intern onboarding orientation programs
* Coordination and distribution of new hire packets and "swag" bags
* Draft and send communications internally and externally in regards to new hires
* Assist with coordination of projects and programs, such as relocation, employee referrals, surveys, branding, etc.
* Coordinate and maintain I-9 documentation process for organization
* Pull data from Workday for recruiting and new hire metrics reporting, creating reports in Excel and PowerPoint, as needed
* Coordination support to Talent team for any and all related activities for new hire onboarding and orientation, from offer letter to onboarding/off boarding
* Creating/filing/maintaining/archival maintenance (hard copy and electronic) of employee files, in compliance with federal/state regulations
* Maintain and provide recommendations on process documentations for recruiting, onboarding, and off-boarding
* Coordination of off-boarding process; exit interviews and surveys, termination in systems

Administrative-

* Warmly welcome department visitors and direct them to appropriate parties or locations
* Serve as "gatekeeper" for and manage HR leadership calendars and incoming calls
* Assist with travel arrangements and travel & expense reports for HR leadership and Talent team members, as requested
* Coordination and preparation of meeting spaces, conference rooms, Skype meetings, and AV systems in conference rooms for new hire orientation, interviews, and team meetings
* Maintain professional relationships with senior leaders, team members, and other employees as well as external clients and others doing business with ORIX USA
* Coordinate and schedule HR team meetings, including training sessions, HR off-sites, leader meetings, etc.; prepare meeting documents and maintain files accordingly
* Preparation and production of materials for client and company presentations for HR leadership and Talent team
* Reconcile, process, and track department invoices accurately and on time
* Process and distribute daily mail for department; prepare FedEx/UPS labels for HR department shipments, as needed
* Ordering of department office supplies and department lunches, as needed
* Maintain appearance of HR department area; replenish supplies and refill paper in copy machine accordingly
* Assist with other administrative projects and duties as assigned

Contacts

This position has frequent contact with all levels of employees. This position also has frequent contact with vendors, new hires, consultants, candidates, and other outside clients.

Education, Skills, & Experience

* Bachelor's degree from an accredited four-year university required; High School diploma/associates degree with relevant years of experience will be considered
* 3-7 years of current experience in an HR assistant/coordinator position; experience in supporting the talent acquisition, training, or talent management functions preferred
* Ability to work in the office a minimum of 40 hours/week, Monday-Friday, with ability to work up to 10 hours of overtime/week as needed
* Professional business image and excellent command of the English language, both verbally and in writing
* High proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook (email/calendaring)
* Strong interpersonal skills; approaches tasks with enthusiasm and critical thinking; diplomatic and dependable
* Demonstrate a positive attitude, behavior, and consistent temperament, adhering to the highest standard of ethics
* Reliable and deadline driven with strong attention to detail
* Dedicated team player, with ability to work independently and with minimal direction
* Excellent organizational, communication, and interpersonal skills, demonstrated when working with individuals at all levels of an organization
* Ability to maintain confidentiality of records and to use discretion in the performance of daily activities
* Ability to plan, organize, and prioritize assignments, and to meet critical and established deadlines
* Flexibility and ability to manage multiple assignments and projects simultaneously, with constant interruptions
* Ability to embrace change and adjust priorities in a growing organization and changing environment
