Job Description

Position Title:

Office Coordinator (Marketing)

Rate of Pay: $13.25 per hour

Position Purpose:

Performs a variety of lead administrative and office duties in support of the Marketing Department and may lead other Office Assistants.This is a temporary seasonal position not to exceed 119 days.

Essential Functions:

* Assists the department Supervisor in coordinating department functions, programs and special projects with other departments within the organization.
* Serves as the department's liaison with Human Resources to coordinate and process employee hiring documentation and termination forms.
* Coordinates employee work schedules as directed by the Supervisor and handles scheduling changes to ensure full coverage.
* Answers, responds to or forwards telephone calls; handles escalated calls in the absence of the Supervisor.
* Assists walk-in traffic to the office, including department employees, other organizational employees, business partners, guests and or patrons.
* Dispatches other department employees in response to inquiries and requests from other departments or the public and follows up through resolution.
* Performs computer data input and generates reports as requested.
* Tracks attendance of department employees and serves as the department
* Leads the work of other Office Assistants and provides training to other office personnel.
* Files and shreds documents as requested.
* May schedule meetings and coordinates the department calendar.

Qualifications:

* Must be at least 18 years of age.
* Previous clerical and/or administrative office experience required.
* Good computer skills and demonstrated ability to use Microsoft Word, Outlook, and Excel necessary.
* Must be able to type at least 35 words per minute.
* Ability to successfully handle and prioritize multiple tasks required.
* Excellent customer service skills and the ability to work well with others a must.
* Excellent teamwork skills required.
* Ability to work outside the normal business day/week as demanded by events and programs.

Preferences:

* Bilingual (English Spanish) skills
