Job Description

Overview:

Olgoonik Diversified Services, LLC, an engineering/construction company specializing in facilities construction, operations and repair, is seeking candidates for the position of Project Administration Assistant for construction work to be performed on multi-year projects at Ft. Riley and McConnell AFB, KS.

Primary Responsibilities:

* Answer multi-line phone.
* Distribute copies of proposals, task orders and work releases to appropriate files and binders (Work with Business Manager in this regard).
* Assist Business Manager in obtaining subcontractor insurance forms.
* Assist the Business Manager in preparation of bid packages/work releases as necessary.
* Insure that office supplies are ordered in a timely manner and neatly maintained.
* Assist Business Manager in creating and/or processing certified payrolls.
* Type correspondence as/if requested by office staff.
* Assist Business Manager in preparation of client invoices.
* Keep contact listings and base access lists up to date.
* Track expiration dates of Insurance and Reps/Certs. Seek subcontractor updates when necessary.
* Additional duties as assigned.

There are no supervisory responsibilities associated with this position.

Education and/or Experience:

* High school diploma or equivalent required or two years' of applicable administrative experience required.
* Experience with Davis Bacon wages and Certified Payrolls preferred.
* Must have experience following written procedures.

Knowledge, Skills, and Abilities:

* Must be able to type a minimum of 40-60 WPM accurately.
* Must possess excellent communication skills (verbal and written).
* Must be detail oriented, well organized, and able to multi-task.
* Requires the ability to complete assigned tasks with limited supervision.
* Must be proficient with Microsoft Office Suite of products including, Word, Excel, and Outlook business software.
* Must demonstrate a good attitude and ability to work as a member of a Team.
* Position requires self-motivation and the ability to work effectively under a minimum of supervision.
* Must be able to work in a fast paced environment on multiple projects and have a strong attention for detail.
