Job Description

Purchasing – Shipping – Customer Service

Job Responsibilities

We are seeking a Customer Operations Analyst to join our growing organization. Reporting into the Supply Chain Manager, this position will support both Purchasing and Customer Operations to streamline processes and procedures for continuous improvement.

Additional responsibilities of the Customer Operations Analyst role include:

  • Assist in the management of incoming and outgoing plasma shipments, as well as sample shipments for plasma testing. 
  • Ensure the highest quality of customer service excellence through managing both customer and vendor  accounts including:
    • Regular contact with customers and vendors on inquiries, complaints, and error resolution (internal and external customers).
  • Maintain quality of approved suppliers through the Supplier Review process, by discussing defective or unacceptable goods, service with users, suppliers and others.  Communicate issues/concerns regarding supplier performance involving purchasing, inventory, product and/or service delivery.
  • Assist in analyzing supply consumption, costs, quality, user supplier and other information to facilitate effective management reporting, financial reporting and verification and compliance with supplier agreements.
    • Assist with customer and vendor visits, attending and compiling meeting minutes
    • Evaluate suppliers based on their performance by tracking and trending methods and the supplier review process
  • Develop good working relationships with users and suppliers.
  • Purchase needed supplies from approved suppliers creating the orders following guidelines for approvals
  • Collaborate with operations on suggested improvements and needs for purchasing, inventory and supply management, and services.
  • Work with the business on initiatives for improvements, process changes, supply changes, and/or supplier changes. 
  • Manage shipping process through:
    • Timely notification of shipment schedules and potential advances or delays in shipments;
    • Reconciling sample shipment and testing;
    • Coordinating transportation scheduling for inbound and outbound shipments;
    • Creating and maintaining accurate and quality shipment documentation, in accordance with domestic and international shipment requirements;
    • Invoicing all plasma shipments for outbound distribution;
  • Work with management to develop automated processes and reduce paperwork for all Supply Chain processes for continuous improvements.
  • Assist with inventory risk and exposure reporting for sample and plasma shipments. 
  • Assist   with month end reporting; Sales and Operations Planning, to include monthly shipment reconciliations and forecasting reports.

Job Requirements

Qualified candidates of this role must offer a Bachelor’s degree (preferably in business administration) or equivalent experience. Experience in the biotechnology/pharmaceutical industries is ideal. You must offer excellent organizational skills with strong attention to detail and accuracy.

Other requirements of the Customer Operations Analyst role include:

  • 3+ years' experience in a supply chain role highly preferred.
  • Must have sound mathematical and analytical skills.
  • Proficiency with Microsoft Office products, including intermediate to advanced Excel skills.
  • Ability to meet deadlines in a fast-paced environment.
  • Must be flexible, adaptable to change, and willing to work in a team environment.
  • Ability to communicate effectively, both orally and in writing with excellent interpersonal skills.
  • Results-oriented and self-motivated.
