Title Associate, Clinical Trial Management- Finance and Operations

Job Description PURPOSE:
Supports successful clinical trials by providing support to the CTM Finance & Operations group. Maintains information and processes related to clinical trial contracts, both with investigators and other suppliers, financial analysis, and invoices and payments.

RELATIONSHIPS:
Reports to the Associate Director - CTM Finance and Operations. Directly supports the group's analysts and site contract and supplier management specialists. Interacts regularly with Legal group and externally with clinical trial sites and suppliers of services and supplies.

ESSENTIAL FUNCTIONS PROJECT SUPPORT:
- Assembles clinical trial site contracts, ensures their accuracy, and manages their routing for signatures. Escalates issues as required in accordance with regulations and procedures.
- Compiles contracts for supplier agreements and manages routing for signatures.
- Assures proper archiving of contracts and other documents per procedures.
- With guidance from CTM Finance & Operations analysts, codes and processes supplier invoices and processes financial chargebacks and journal entries.
- Ensures compliance with the application and communication of all Novo Nordisk policies, procedures, and fundamentals.
- Updates, maintains, and utilizes CTM Finance & Operations systems. May prepare reports as required.
- Assists the team in preparation for audits or inspections. - Works on projects as assigned, following company policies, procedures, and standards specific to Clinical Trial Management.
- Provides administrative support to Finance & Operations team as needed. Provides feedback to CTM Business Management colleagues on process and continuous improvement opportunities. May take initiative to lead team efforts around process improvement, audit preparation, and document filing.
- May participate, in the absence of other CTM BM colleagues, in regular TMT meetings and initiatives, as requested.
- Responsible to escalate and inform according to CTM's guidelines and practices. TEAM COORDINATION:
- Accountable for compliance and quality of CATS reporting.
- Participates in cross-functional teams locally/globally to assure timely attainment of project milestones.
- Active membership to local/global project teams.
- Responsible for conducting oneself in accordance with expectations as a project team member to ensure the success of a matrix management structure.
- Responsible to maintain focus for specific project activities within CTM priorities.
- Attends relevant team and department meetings, forums, conferences and scientific meetings, as necessary.
- Identifies, leads, develops, supports and communicates functional, departmental or organizational initiatives.
- Assists with ensuring that quality of performance is in accordance with departmental expectations for function.
- Provides support for the implementation of continuous improvement processes for role and/or function.

PHYSICAL REQUIREMENTS:
- Approximately 5% overnight travel may be required.
- Office based in Plainsboro, NJ.

KEY SUCCESS FACTORS: EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS
- A Bachelor's degree required; relevant experience may be substituted for degree, when appropriate and dependent on the requirements of the position.
- A minimum of 1 year relevant experience in the area of contracts required (preferably clinical trial contracts); some experience in area of specialty preferred.
- Demonstrated commitment to quality, attention to detail, and providing the highest quality services to internal and external stakeholders.
- Demonstrated competencies in the technical, regulatory, and legal terminology around contracts, preferably in the area of clinical trials.
- Superior written and oral communication skills.
- Demonstrated skills in PC applications, including software applications specific to the function.
- Ability to prioritize and manage multiple diverse responsibilities simultaneously in a fast paced work environment.
