Role Summary:

Assistant to the VP of Publicity - Focus Features - Looking for an energetic, resourceful and organized self-starter to support a senior publicity executive and team. Will handle all day-to-day administrative tasks including: managing schedules for talent, processing invoices and billing, scheduling and covering press screenings, coordinating and tracking print & dcp delivery, handling correspondence, filing executives' expenses and booking talent travel. Will also be responsible for monitoring and compiling daily press breaks and working on special research projects for the department.

Essential Responsibilities:

Coordinate and book travel, hotel & cars for talent, filmmakers and executives

Work closely with executives to manage talent schedules, itineraries and liaise extensively with talent rep offices

Manage heavy schedule coordination for executives including internal and external meetings and creation of meeting agendas

Monitor, coordinate and distribute daily press breaks from various media sources to filmmakers and internal executive team

Oversee master calendar for talent and film campaigns

Create contact sheets for each film campaign

Administer clerical duties which includes processing and coding invoices, tracking billing, filing expenses, booking travel and handling heavy phones

Responsible for assisting at press days, press screenings, awards screenings, junkets, premieres & special events

Will work independently on research projects as assigned

Book external screening rooms, coordinate print & DCP shipment and manage the department's screening calendar as well as oversee Focus Features' internal screening room schedule

Work with talent reps to coordinate grooming (including hair, makeup and styling) for talent and filmmakers

Supervise the publicity page and intern programs


Basic Qualifications:

Bachelor's Degree (degree in media, journalism or communications is preferred)

Minimum of 1 year experience (at an agency, studio or network)

Working knowledge of social media platforms

Intermediate skills with Microsoft Outlook, Word, Excel and other Microsoft programs as well as Google Suite programs

Eligibility Requirements:

Desired Characteristics

One year of prior studio experience with film publicity and awards campaigns

Working knowledge of film industry including: distribution companies, publicity firms and talent agencies

A desire to pursue a career in publicity

Genuine love of film and pop culture is a plus

Excellent written and verbal communication skills

Ability to work as part of a team and autonomously on assigned projects
