Major Responsibilities:

Provide executive assistance to the global heads of the division

* Collaborates with the global heads by coordinating and maintaining daily schedules
* Perform daily administrative duties such as travel arrangements, conference arrangements answering and directing incoming calls, opening and sorting incoming mails, filing, etc.
* Coordination with relevant department heads, their assistants and clients
* Demonstrates ability to initiate change and continuous improvement
* Maintain and updates various memberships

Administrative tasks within the division

* Prepare expense related application under instruction by the supervisor, control and monitor expenses, including monthly expense report. Settlement of each expense related to the division's operation
* Prepare and maintain organization related information within the division, including Organization Chart, Seating Chart, Emergency Call Tree
* Arrangement of seating, phone, PC, security card, and other related duties for the staff of the division
* General administrative tasks including copy/fax/mail/guest reception, delivery of documents, filing of documents
* Make various arrangements as requested and collaborate and communicate with relevant parties in the Bank including Tokyo and other regions.
* Full assistance and support to all the counterparties visits from Tokyo and other regions
* Translate relevant documents from English to Japanese and/or Japanese to English
* Perform related duties and participate in special assignments as directed.
* BA degree or equivalent experience required
* Bilingual Japanese, good verbal and written communication skills both in English and Japanese; able to generate high quality e-mails and messages to individuals at all levels; can-do and polished manner
* Knowledge of and adherence to all company policies and procedures
* Excellent organizational and multi-tasking skills
* Strong ownership, positive attitude and self-motivation, strong accountability
* Team and service oriented; enjoys supporting a senior executive while being part of and contributing to a broader team. Good teamwork and cooperative stance
* Tact and good judgement in confidential situations
* Strong skills with Microsoft Word / Excel / PowerPoint
* Experience with Access or other database system
