This is a 6 month temporary employee role with an opportunity to be converted to a permanent employee.

Job Summary:

You are responsible for providing administrative support to the Head of JCBE (Japanese Corporate Banking - East) for the Americas. You will also be responsible for Accounts Payable (AP) functions. This includes payment instructions, submitting and verifying the processed invoices and maintaining the paid records using SAP Concur and Ariba systems.

* Accounts Payable functions (45%):

Performs clerical tasks related to Account Payable such as ensuring invoices are approved in the system, giving payment instructions to prevent errors, verifying processed invoices, performing other accounting functions relating to Accounts Payable using SAP Concur and Ariba system to execute Expense tasks.

You will run the reporting of expenses within the Business planning function:

* Preparing Monthly Expense report.
* Responsible for paying all invoices, consolidating status reports and assisting with job descriptions and annual reviews.
* Processing daily expense for JCBE's members.
* Oversee the installation of vendor-provided updates and new releases
* Ensure all invoices are cross-referenced with line items.
* Handle budget items with Director throughout the year.

2. Administrative Support functions (40%):

You will provide support with the administrative duties of JCBE members include focused on the Head of JCB East as follows:

* Writing business letters and other correspondence in English and/or Japanese
* Organizing files and offices and processing "Gift and Entertainment" procedures.
* Arranging travel and hotel reservations and completing all accounting forms for reimbursements.
* Handling the scheduling of appointments and coordinating meetings and interviews.
* Maintaining the memberships and paying the dues for various organizations.
* Set up business and professional lunches, dinners, entertainments and corporate events.
* Ordering business cards, office supplies, flowers and gifts to customers.
* Making arrangements for incoming visitors, greeting guests, serving refreshments to guests.
* Screening incoming phones and communicates with customers in Japanese and English.
* Prepare or edit various reports and articles and setting up the Monday Morning Meetings.
* Also administrative tasks within Planning Dept., including; (Reporting)
* Arrangement of setting phone, PC, security card, and others for new staff.
* Administration of Seminars and Receptions sponsored by the division, of memos and calendars to be distributed to customers, and of mobile phone, EZ pass and company cars.
* Administrative tasks for Business Promotion Team of Business Planning Dept.
* Prepare and maintain organization related information within the division, including Organization Chart, Seating Chart, Emergency Call Tree

3. Risk/Planning functions (10%):

Assist manager and Department Head of Planning in implementing and Inspections checks for operational compliance to bank rules and procedures.

* Serves as a central point for CEA Exam, OCC exam, Audit and other internal audits to help preparation and submits required reports in an accurate and timely manner cooperating with related department.

4. Other (5%):

Perform other duties as assigned by the Head of JCBE and managers.

* You possess a Bachelor's degree in accounting, finance, economics business or related field or the equivalent work experience.
* You have at least 3 years of relevant work experience, experience at a bank or finance company is helpful.
* You are a collaborative person with excellent written and verbal communication skills and strong organizational skills.
* You have excellent computer skills as well as analytical skill data management skills. Direct experience with Excel at an advanced level and PowerPoint at an intermediate level are typical.
* It is a plus if you can operate SAP Concur and Ariba systems. It is typical to have experience with AP systems and invoices.
* You are able to prioritize competing tasks and work independently under time pressure.
* You are fully bilingual in English and Japanese including both verbally and in writing.
