Roles & Responsibilities:

The AdministrativeAssistant II reports into the Administrative Manager and will be required tomanage coordinateadministrative and academic activities relatingto the physicians within the Division of Hematology/Medical Oncology. Duties will include meetingcoordination and calendar management, answering phones, serving as administrative liaison with others related to purchasing,facilities and operations, and other day-to-day operations as required. Underthe guidance of the Administrative Manager and Finance Director, the individualwill also assist with the preparation and submission of grants and contractapplications.

The Tisch Cancer Institute is a vital componentof the Icahn School of Medicine at Mount Sinai Hospital and plays a key role inthe Mount Sinai Health System, which is one of the largest health care systemsin the nation. We are a National CancerInstitute (NCI)-designated center and provide a multidisciplinary approach tocancer treatments and clinical breakthroughs that may one day put an end tocancer.

Duties and Responsibilities:

* Provideadministrative support to one or more physicians as related to day-to dayoperations. Maintains the physician'scalendar, coordinates meetings; including booking space, coordinatingschedules, and confirming attendees.
* Answersand screens calls.
* Maketravel arrangements and accommodations for physicians to include air, train andhotel reservations. Prepares travel reimbursements and expense reports.
* Checksmaterials submitted for supervisor's attention to ensure all relevantdata,

authorizations and pertinent information are included.
* Servesas a liaison with other departments or external parties as necessary to

accomplish objectives and or complete projects or assignments.
* Providesadministrative support to the PI; assists with preparation of grantsapplication including prepare the Financial Conflict of Interest Forms in MountSinai system and update the PI's biographical sketch.
* Assistwith the preparation of manuscripts and presentations: prepares tables, textand slides, performs literature searches as needed.
* Researches,locates and compiles information for reports. Assembles and categorizes figuresfor computation and calculations. Prepares statistical reports. Prepares andmonitors budgets and grant allocations, and maintains accruals.
* Preparesdocuments required to maintain balanced accounts for review and approval.Maintains files, and ensures compliance with regulatory standards.
* Assistsin the planning and logistical arrangements for forums, conferences, seminars, meetingsand/or visiting professorships. Assist in the development and coordination of informationalpackets for participants. May transcribeand distribute minutes.
* Investigates,evaluates and resolves typical administrative or operational problems or situationsaffecting the work unit.
* Screenand prioritize incoming mail for needed action and follow up. Responds to mail whereappropriate or distributes mail requiring attention to appropriateindividual(s).
* Screentelephone calls, answer inquiries or direct caller to the appropriateindividual for further information and/or resolution.
* Performsother related duties as assigned.

Requirements:

* BachelorDegree preferred or a combination of experience and education.
* Threeyears of related experience in an academic or healthcare environment required.
* Abilityto work proactively and independently is necessary with minimal supervision.
* Demonstratedstrong written and oral communication skills mandatory.
* Knowledgeof Microsoft Word, Excel, Outlook, Doodle Poll, GoTo Meeting.
* Knowledgeof PubMed, and InfoEd desirable.
* Knowledgeof grants highly desirable.
