Job Description

Principal Duties and Responsibilities 1. Maintains department's confidential files for Mount Auburn Hospital. Performs necessary bookkeeping duties. 2. Prepares and types confidential reports (financial and statistical) for the Food Services Director and Manager of Nutritional Care. Maintains detailed reports regarding types of meals, etc. 3. Maintains calendar for Food Services Director. 4. Maintains accurate and up-to-date sign-in sheets, time cards, and departmental phone list. 5. Verifies records of invoices and items received for departmental deliveries. 6. Is responsible for completion of the department's weekly payroll, including all employees in the Main Kitchen, Cafeteria, Nutritional Care, Dietary Administration, and Nutrition Counseling Service (approximately 60 employees) for department. 7. Communicates changes in employee status to Payroll and/or Human Resources Department. 8. Communicates any work-related injuries (Workers' Compensation) to appropriate individual in Human Resources and makes sure that appropriate incident report is completed and forwarded. 9. Prepares necessary documents and correspondence for Dietetic Internship Program. Types and maintains files. 10. Participates in end-of-month physical inventory by entering in computer after inventory has been completed. 11. Coordinates all function activity, up to and possibly including the delivery of a function. Completes all appropriate departmental paperwork, orders any necessary rental supplies and/or floral arrangements. 12. Participates in the updating of the patient and cafeteria menus by retyping all menus as applicable. 13. Is responsible for ordering all office supplies as needed within budgetary constraints. 14. Is responsible for daily bakery orders for Cafeteria and any function activity by doing inventory and phoning orders in accordingly. 15. Acts as a telephone liaison for five Meals on Wheels accounts. 16. Is responsible for daily accounts payable data entry. Also maintains vendor information, i.e., missing invoices, credits, etc. and reports any vendor changes. 17. Is responsible for updating and maintaining par stock sheets for patient floors with regards to updating pricing and product/item changes. 18. Is responsible for placing all work requests for repairs to the appropriate party (Engineering, outside contractor, and Environmental Services). 19. Is responsible for maintaining all department master schedules and making changes according to staffing changes. 20. Is responsible for maintaining and coordinating meal counts for daily Meals on Wheels. Also responsible for end-of-month billing for same. 21. Is responsible for receipt and distribution of all interdepartmental mail. 22. Is responsible for inventory, ordering, and obtaining patient wine, kosher food (when needed), and shelf stable meals for Meals on Wheels. 23. Processes all check requests and invoices for entire department. 24. Performs all other related duties as assigned. 25. Works under the direction of the Food Service Director.

Requirements: KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED 1. Associate's degree in business/management or high school graduate with two years of business/secretarial experience and some bookkeeping experience. 2. Good interpersonal and communication skills. 3. Attention to detail and good organizational skills.
