Job Description

Position Highlights: The management assistant is a highly organized professional provides day-to-day project administration services and support to the the Director of Design and Construction and Director of Space Planning and Programming. These administrative services include but are not limited to: software administration and management, scheduling, document management, business analysis services, report creation, work flow documentation, work flow management, and organization wide communication. The Ideal Candidate Experience with Ebuilder software Experience in the design or construction field. Working knowledge of construction work flows and project sequencing. Expert user in Microsoft excel and power point. Familiarity with Lawson, Kronos, and/or other like systems. Responsibilities: Coordinate Director initiated or attended meetings. Including meetings between Moffitt and its external partners. Create project folders and maintain orderly filing. This may include creation and implementation of new filing systems. Create tracking reports for Diversity Spend, Project Bids/Awards, Project KPI#s, Budget, and custom reports. Manage all broad communication with the hospital from All User Notices to targeted group notices such as Impact Bulletins, Project Updated, Project Shutdowns, etc. General administrative support such as preparing agendas, coordinate meetings, proof edit documents, etc. Credentials and Qualifications: High School Diploma/GED required, Associate#s degree preferred. Minimum five (5) years working experience, three (3) years of which are in an office support, administrative, business analysis, or similar role.
