Position Details:

College Houses is a nonprofit student housing cooperative in Austin, Texas, managed by its student members. Formed in 1964, College Houses' mission is to provide affordable housing to foster community, support education, and promote the personal development and well-being of our members. Located in the West Campus neighborhood near the University of Texas, College Houses' 7 cooperatives are home to over 500 members.

Job Description: The Administrative Coordinator is responsible for general reception at the front desk, providing administrative services to members and managing organizational information. This position reports to the Membership Director and is considered a full-time, non-exempt salaried position.

Primary Responsibilities:

Front Desk

* Maintains presence at the front desk
* Answer phones, direct calls, and takes messages
* Type correspondence and copy as required
* Sort and distribute mail
* Greet persons visiting the office and assist them as necessary
* Notify members when they receive a package in the office
* Answers emails from website or direct to appropriate staff
* Order supplies for computer managers and office, as needed
* Maintain office equipment
* Take payments from members that don't have specific account questions

Membership Services and Systems Administration

* Operate the application and contract systems as prescribed by the Membership Director
* Assist with the maintenance of application and contract materials and systems
* Coordinate, with the Membership Director, priority signing for current members
* Coordinate, with the Membership Director, new member applications; maintain master application list; process applications and maintain files
* Coordinate with the Membership Director to process and file contracts, maintain member database, produce hard files for accounting, and maintain officer lists
* Assist staff and houses with maintaining training manuals and materials, historical documents and minutes
* Assist the Membership Director with the monitoring of student status compliance
* Assist the Membership Director with website administration and content
* Assist the Accountant with transaction processing and filing
* Assist other staff with low-level technical problems
* Assist staff with questions about member's status, contract, and contact information


* Work with Facilities and Operations staff to regularly and consistently complete house and room inspections
* Support staff in maintaining necessary forms and information for activities with a compliance component

Program Management

* With the Membership Director, coordinate and supervise the Office Labor Program


* Help create a welcoming atmosphere for members, officers, and staff
* Help create and maintain a welcoming and professional face to applicants, members, staff, and the public
* Treat everyone in a professional, respectful and friendly manner
* Work as part of a team of professionals supporting co-op members and facilitating the success of the organization
* Other duties as assigned

Working Conditions

* Will work around standard office conditions
* May spend extended periods of time at a desk working at a computer
* Repetitive use of a keyboard at a workstation
* This position is expected to work 40 hours each week, and be in the office from 10 am - 6 pm, Monday through Friday.
* This position requires the ability to perform tasks that involve bending, lifting, walking, carrying and using force equal to lifting up to 50 pounds, with or without accommodations. Any lifts over 50 lbs. may only be performed as team lifts with supervisor's approval

Required Qualifications

* Bachelor's degree preferred, high school diploma required
* Minimum of 3 years of relevant experience
* Strong interpersonal and communication skills
* Ability to work occasional evenings and flexible hours


College Houses offers a competitive benefits package including full medical and dental insurance, a retirement plan, paid vacation, sick leave, and holidays. The starting salary range for this position is between $35,000 - $40,000 and will be commensurate with experience and education. The overall salary range for any Coordinator position at CH is $35,000 - $55,000.
