Job Description


The Administrative Assistant will be responsible for providing administrative support for the Standardized Patient (SP) Program at the Downers Grove campus and receptionist duties at the Clinical Skills and Simulation Center - Downers Grove. The position reports to the Standardized Patient Program Manager.

Essential Duties and Responsibilities

Serve as administrative support to the Standardized Patient Program as follows:

* Assist in sending and/or tracking availability requests and hiring e-mails for events at the direction of the SP Program Manager or Coordinator
* Assist with entering information into the LearningSpace Intuity software to reflect confirmed Standardized Patient staffing based on event
* Prepare materials for training, informational seminars, orientation related to Standardized Patients
* Maintain Standardized Patient work logs, personnel files, personnel information in CAE LearningSpace software, and Outlook Contacts
* Assist in preparation and distribution of the quarterly Simulation Center newsletter
* Other duties or projects as assigned by the Standardized Patient Program Manager

Serve as administrative support for events, lab sessions, and/or assessments:

* Assist with Pre-SP event preparations (specifically room set up, supplies, faculty packets, SP sign in sheets, student sign in sheets, event hiring audit)
* Prepare/collect laundry for weekly pick up. Restock clean linens upon return.
* Restock Cardinal and/or Alumni Hall exam rooms as necessary.
* Serve as main administrative support during live Standardized Patient events
* Other duties as assigned

Perform external/customer service duties to include:

* Answer/screen telephone calls to the Clinical Skills and Simulation Center
* Greet guests as they enter the Clinical Skills and Simulation Center
* Prepare for tours made through the Center
* Communicate with customers in a timely and professional manner
* Other duties as assigned

Serve as back-up for internal administrative duties which may include:

* Organize and maintain event related files and records
* Making room reservations
* Maintaining main Center Event calendar
* Mailings, faxes, and document preparation including meeting agendas and minutes
* Other duties as assigned

Education and/or Experience

High school diploma or GED required. 1-3 years of administrative support experience in an office or educational setting required. Associates degree preferred. History of working in a team and customer service oriented environment required. Knowledge of or experience working with Standardized Patients is highly desired.

Computer Skills

High Skills: Must demonstrate computer proficiency in MS Office (Word, Excel, Outlook, Publisher).

Language Skills

Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively and professionally over email or by phone. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability

Basic skills: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Mathematical Ability

Basic skills: Ability to add, subtract, multiple, and divide all units of measure using whole numbers, common fractions and decimals. Ability to compute rate, ration, and percent and to interpret bar graphs.
