Job Description

McGregor PACE, a Program of All-inclusive Care for the Elderly, is a community based program for seniors whose mission is to provide an alternative to nursing home placement.

Agency growth dictates our need to hire an additional "experienced" Medical Records Clinical Services Specialist with 2 years of experience and in the healthcare industry.

Essential Job Functions as Medical Records Specialist :

  • Pull, file, review, send requested medical records
  • Responsible for organizing and maintaining proper format of the medical records
  • Review and audit charts to ensure correct chart formatting
  • Maintain log to ensure all required records are in the chart and track missing items until received and placed in the chart.
  • Maintain chart sign-out/in log for charts removed from the chart room.
  • Maintain requirement forms log for dis-enrolled/deaths.
  • Purge active charts according to guidelines; maintain dis-enrolled participant charts, file as needed.
  • Communicate with clinical staff and other staff member of the interdisciplinary team.
  • Process Care Plans, addendums, schedules, invitations and draft post care plan correspondence and meeting minutes
  • Responsible for requesting, receiving and processing affiliate medical records including maintaining and requesting proper documentation for authorization for release of medical records from participants/family members.

Essential Job Functions supporting Clinical Services:

  • Answers the clinic phones and maintains message log with follow up, as appropriate
  • Accurately transcribes and processes physician orders
  • Schedules both internal and external participant appointments and communicates schedule to participants and caregivers
  • Copies documents as needed and prepares packets for outside appointments
  • Assists with scheduling transportation to outside appointments by contacting the McGregor PACE transportation department or working with the caregiver/family to accomplish transport
  • Enters into computer relevant departmental data, per direction of department Director
  • Maintains departmental fax and copy machines


  • Proficiency in Microsoft Word and basic database skills, required.
  • Attention to detail and the ability to function independently required.
  • Associates degree in Medical Records Technology or other related health care profession is preferred.
  • One to two years previous experience in medical records in hospital or LTC, or Certification in medical records preferred.
  • Knowledge of healthcare and National PACE program preferred .
