Position Summary: Mayo Clinic is actively recruiting for multiple medical administrative assistants across the Rochester, MN campus. Opportunities are available in multiple areas of the clinic and for various schedules and shifts, dependent upon availability at time of offer. This posting is for applicants EXTERNAL TO MAYO CLINIC ONLY.

Applicants are not applying for a specific area. Qualified applicants are pooled for consideration by any/all active hiring managers and will have the opportunity to express interest in the open positions.

Medical administrative assistants help optimize the use of the health care provider's time and resources. Depending on the specific assignment, their tasks may include:

  • Transcribing medical dictation
  • Maintaining calendars for health care providers
  • Composing and coordinating correspondence
  • Overseeing travel management
  • Maintaining committee minutes
  • Developing documents for publication or presentation

Work schedules are primarily day shifts, Monday through Friday.



Responsibilities: The medical administrative assistant performs a variety of tasks in support of physicians and other allied health care providers. These tasks may include maintaining care provider calendars; scheduling meetings; preparing presentation materials, creating and distributing professional memo's and letters, taking minutes, answering telephones and providing related follow-up; maintaining the electronic medical record; filing; preparing reports, making travel arrangements; processing reimbursement for travel and other professional expenses; maintaining records for continuing medical education; and transcribing medical correspondence as well as research and administrative documents. Ideal candidates will have strong organizational and communication skills, a commitment to quality and excellence in service, initiative, proficiency, and good judgment in optimizing the use of physicians' and other allied health care providers' time. This position is also known as a medical secretary. (001756)

Qualifications: Successful completion of a vocational or associates degree/diploma in a medical secretary, medical administrative assistant, administrative assistant, medical transcription, business related or medical related program or a minimum of two years' of relevant experience in an office support role such as a medical secretary, administrative assistant or medical transcription performing secretarial duties or successful completion of the Mayo-Sponsored Medical Secretary/Transcriptionist Training Program (MSTP). Individuals without relevant medical education or medical experience will be required to successfully complete a Medical Terminology course within six months of employment. Anatomy/Physiology may also be required depending on role and background.

Competency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, etc.), managing calendars, creating correspondence/reports/presentations, database/spreadsheet management, coordinating travel, etc. Excellent application of grammar, punctuation, and English usage. Should be able to understand diverse accents and speech variations. Must possess a high-level skill in organization, clerical aptitude, and attention to detail, excellent written and oral communication skills, and interpersonal relations. Requires good decision-making and judgment. Requires the ability to prioritize work and follow through independently, handle a variety of tasks, and work collaboratively and professionally. Must be able to adapt to a rapidly changing environment. Proficiency in the use of technical office equipment (computer, printers, dictation equipment, phone system, fax machine, etc.) Medical secretary and/or transcriptionist work experience, experience with secretarial/clerical software, and basic math skills, preferred. Some areas may require successful completion of a Mayo medical transcription test.

License or Certification: None required.

Compensation Detail: Education, experience and tenure may be considered along with internal equity when job offers are extended. The minimum pay rate is $17.68 per hour.
