Job Description

Summary of Job:

Responsible for appointment scheduling management for the public clinic. . Managing the daily check in, release and invoicing for the Community Clinic wellness programs. Actively promote spay and neuter, educate the public on responsible pet ownership and promote and support the LA/SPCA'S programs and mission.

Essential Functions:

* Answering incoming calls requesting appointments, inform clients of services, fees, and any pre-appointment protocols
* Logging all voicemails and respond to messages within 1 business day when possible
* Export daily appointment requests made via the organizational website.
* Check in each Wellness clients
* Explain and offer veterinary retail products to clients, check out wellness clients
* Create and submit daily deposits for all revenue
* Document discounts and special grant expenditures
* Generate daily financial reconciliation reports
* Monitor daily scheduling mix to ensure appropriate number of clients for the appropriate services
* Make reminder and follow up calls to clients as needed
* Keep Wellness Supervisor informed of progress and challenges in scheduling, cancelations and no shows
* Participate in meetings as needed
* Cross train other staff in daily duties
* Participate in cross training in other clinic functions such as veterinary assistant, cleaning protocols, and record manager.
* Assist with client intake and release as needed
* Treat all animals and clients humanely, professionally, properly, and with compassion at all times, regardless of the situation or circumstance.
* Maintain a professional and friendly demeanor and provide good customer service
* Works courteously and cooperatively with other staff members and volunteers
* Maintain confidentiality regarding all cases and LA/SPCA information
* Report to work in extreme weather conditions such as but not limited to hurricanes, flooding and ice/snow.
* Perform other duties as needed and assigned.

Education and/or Experience:

* High school diploma or GED
* Should have 2+ years professional experience in a veterinary clinic, shelter or comparable setting
* Experience in Humane Alliance Spay/Neuter Model is helpful but not required

Minimum Qualifications (or skills and knowledge):

* Must be able to pass a criminal background check and pre-employment physical and substance screening
* Excellent customer service skills
* Attention to detail
* Ability to thrive in a fast-paced work environment with a diverse group of employees and clients
* Ability to report to work as early as 6:00am and end as late as 7:00pm
* Excellent communication skills, interpersonal skills, and computer skills
* Mental and physical flexibility is a must

Physical Requirements:

* Should not be allergic to animals; must be able to work around all animals.
* Must be able to work with industrial strength cleaners and disinfectants

Working Environment (or Working Conditions):

* Potentially subject to animal bites and scratches
* Works in an area with a high noise level
