The Role

As the Administrative Assistant II, you will support a wide range of project management and administrative tasks specifically supporting Lincoln's Life Solutions MoneyGuard's Vice President. You will be responsible for providing leadership support, coordination and prioritization of activities and communication both externally and internally within the organization.

Responsibilities

Organization & Project Management

* Prepares agendas, make arrangements and take minutes for staff, committee and other project or team meetings
* Serves as project manager for assigned initiatives (i.e. strategic) with oversight including project plans, preparing meeting agendas, identifying risk areas, budget preparation and budget management
* Proactively coordinates and prioritizes activities with a strong focus on ensuring that calendar deadlines are met

General Administrative Support


* Provides direct administrative support including answering calls, scheduling and coordinating meetings, taking meeting notes, processing/approving expenses, filing, supplies and travel coordination
* Manages all expense reports and reconcile corporate credit card statements
* Coordinates with, and may act as backup to other Executive Assistants
* Conducts purchasing activities and disbursement requests related to various expense activities; process invoices/payments as appropriate

Data Coordination


* Manages and maintains data integrity and reporting activities in support of the Life Solutions, Underwriting & New Business organization
* Assists with preparation of presentation materials
* Prepares and summarizes miscellaneous reports and documents to identify data issues, trends, and follow-up requirements
* Prepares professional and accurate responses to correspondence

Communication Skills


* Effectively interacts with all levels of the organization, including the executive leadership team
* Facilitates internal and external communications maintaining accurate distribution lists
* Demonstrates high levels of energy and professionalism to effectively interact with both internal and external executives and colleagues as well as external customers and consultants

Education

* Associates' Degree minimum required or 4+ years of experience working as an Administrative Assistant

Experience

* Minimum of 3 years of experience in executive support that directly aligns with the specific responsibilities for this position
* Demonstrated experience in budget preparation and budget management
* Advanced usage level of business technology tools is required
* Expert level knowledge and experience developing PowerPoint presentations and Excel documents utilizing formulas, creating graphs, and pivot tables required
* Demonstrated experience in creating concise and effective written, graphical and verbal communication skills
* A demonstrated track record of consistently meeting and/or exceeding performance expectations
* Possesses a bias for action and avoids workplace distractions
* Drives performance targets to completion
