Job Description

The Coordinator provides support to the Lehigh Fund, Annual Giving Program and to the Senior Director of the Regional Individual Giving Team. The Coordinator is responsible for providing accurate and efficient administrative support for the Lehigh Fund Student Calling Program, Lehigh Fund staff members, Lehigh Fund Gift Officers and the Senior Director of Regional Individual Giving.

Accountabilities:

* Administrative support of the Lehigh Liner Student Caller Program
* Assesses, packages, stamps and mails pledge confirmations and thank you letter acknowledgements daily
* Reviews Confluence database daily for notes regarding constituent contact requests, biographical updates, pledge adjustments or special requests
* Sends any actionable constituents requests to the appropriate parties for follow up
* Elevates complex gift conversations to the Lehigh Fund Senior Director
* Maintains the Lehigh Liners email account; checking daily for feedback or requests, and passes them along to the program Manager for follow up
* Coordinates room reservations and catering for Liners staff events
* Provides support for Liners meet and treat staff calendar, as needed
* Acts as a backup to process payroll documents
* Sends invoices to the Senior Administrative Director for processing
* Procures envelope seals and postage as necessary


* Lehigh Fund operations and communications support
* Applies proper communication coding for mass communications and solicitations in the database
* Creates and maintains a filing and records system for direct mail, solicitations and communications
* Sends email announcements to Development and Alumni Relations staff when mass solicitations/communications are sent
* Reviews and proofs constituent data for mass communication to find and correct any errors in biographical information
* Develops and maintains ongoing spreadsheet of alumni record changes; periodically submits to Information Processing
* Reviews live proofs from vendors to ensure accuracy
* Ensures that confidentiality measures are consistently followed when handling sensitive donor information as well as other confidential information
* Monitors the Lehigh Fund email account and elevates comments and inquiries on to leadership
* Reach out to constituents by phone or email for clarification, as needed
* Maintain a customer service spreadsheet to track inquiries and responses
* Coordinates student workers and student volunteers; communication and scheduling, as needed
* Responds to various inquiries by answering questions and solving problems; inherent to this activity is the need to elevate questions to the appropriate resource in a timely manner
* Proactively assist alumni and staff ; problem solve, suggest or initiate improvements to departmental processes or procedures


* Provide exceptional customer service and high-level maintenance and management of donor relationships and donor processes within the Lehigh Fund
* Serve as a first line of contact for donor inquiries; build rapport with alumni and other constituents
* Ensure that confidentiality measures are consistently followed when handling sensitive donor information and other confidential information
* Responds to various inquiries by answering questions and solving problems; elevate questions to the appropriate resource in a timely manner when needed
* Proactively assist alumni and staff; suggest or initiate improvements to departmental processes and procedures


* General office administration and project management for Regional Individual Giving
* Provide administrative and calendar management for the Senior Director, Regional Individual Giving
* Schedule meetings and conference calls for the Regional Individual Giving and Lehigh Fund
* Assist with preparing and distribution of meeting agendas, set up meeting spaces, including catering, furniture and technology
* Prepares and produces routine and/or specialized reports and presentations as requested by the Senior Director
* Assist with hiring new staff by scheduling interviews, establishing and maintaining applicant files and preparing orientation packets
* Serves as the Coordinator on special projects as assigned; often includes requesting/pulling data and reports
* Determines the best approach for fulling assigned tasks using a best practices approach, as each situation may require



Qualifications:

* High school diploma or equivalent combination of education and experience
* One to three years related work experience
* Excellent writing ability, organizational skills and attention to detail
* Good judgment, decision making, and problem solving skills
* Strong computer skills with experience using word processing, database and spreadsheet software
* Successful completion of standard background checks including but not limited to: social security verification, education verification, county and national criminal background checks, PATCH, FBI fingerprinting, Child Abuse Clearance. Based upon the requirements of the position Lehigh may also request credit history reports, motor vehicle checks and professional license/certification verification

Special Considerations:

* Periods of high volume/workload may be required
* Occasional evening or weekend hours for meetings or events

Grade and Hiring Minimum:

37.5; $34,010
