Publication Production Assistant

Keystone Symposia on Molecular and Cellular Biology is looking for a seasonal Publication Production Assistant responsible for the layout and proofing of more than 50 conference books throughout the season.

Requirements include desktop publishing experience, preferably using Adobe InDesign and Photoshop; understanding of printing and typography; knowledge of Adobe Acrobat; strong project management and communication skills; and attention to detail. Two-year or four-year college degree preferred. This is a full-time, seasonal position (October May) that will require 40 hours per week initially, going to 32 hours in March.

Primary Responsibilities:

  • Lay out books using Adobe InDesign and manage their print production according to a precise schedule of deadlines and already-created templates.
  • Update production schedule as needed.
  • Traffic and route hard-copy proofs for books and ensure proofs are disseminated and returned on schedule. Also create Acrobat-based shared digital proofs and make all corrections indicated on the proofs.
  • Work closely with multiple departments to ensure all deadlines are met and to keep colleagues apprised of schedule changes.
  • Proactively contact staff from other departments when clarification is needed.
  • Update book template design files.
  • Create secure online PDF version of each conference book with bookmarks and hyperlinks.
  • Assist the Marketing Department in developing an annual schedule and budget for the next season’s abstract books, and in brainstorming book production process improvements.
  • Assist with other departmental and/or company projects during slow periods.
