Brokerage Assistant

Job Description Summary:

We are currently seeking a Brokerage Assistant to support our Investment Sales team throughout our Great Lakes Region. This role provides marketing and administrative support under the direct supervision of a combined team. The Brokerage Assistant will work in a fast-paced, team-oriented environment.

Job Description:

MARKETING RELATED RESPONSIBILITIES

* Create business development material such as offering memorandums, opinion of values, marketing presentations, etc.
* Process and submit proposals.
* Prepare and distribute property marketing material for listings including flyers, signage, e-blasts (via company supported software), etc.
* Manage listing process to ensure consistency across all listing platforms, CoStar, CRM, etc.
* Knowledge of Adobe Creative Cloud Programs as well as Microsoft Office Suite is mandatory, specifically InDesign and PowerPoint.
* Update distribution and broker lists.
* Active liaison with marketing department.
* Coordinate/manage mailings - partner with marketing department and/or external vendor as needed.
* Assist team with preparing and updating client-specific reports.
* Contact internal and external resources for information.
* Assist and participate as needed for industry functions or client events.
* Work with appropriate contact to maintain internal/external sites for client and property purposes.
* It is expected that the assistant will have direct contact with some of the brokers representing prospects and will request updates from them.

ADMINISTRATIVE RESPONSIBILITIES

* Provide support to the team in technology applications (e.g., Adobe InDesign, Photoshop, Microsoft Word, PowerPoint and Excel, etc.) and other company supported programs.
* Prepare and execute expense reports on a regular and timely basis.
* Submit check requests for the team to Corporate Accounts Payable Department.
* Create and maintain filing system and efficient information retrieval system.
* Produce timely and accurate word-processed documents (reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)
* Help keep front lobby, conference rooms, kitchen, and work room clean and organized.
* Greet guests at reception area when necessary.
* Help answer phone calls to the main office line and maintain mailbox when necessary.
* Other duties, as assigned

EDUCATION AND EXPERIENCE

* Bachelor's Degree or commensurate experience preferred.
* Workplace experience, minimum of 2 years in marketing and/or administrative support role - a fast paced work environment preferred

KNOWLEDGE, SKILLS, AND ABILITIES

* Advanced Microsoft office product knowledge - Excel, Word, PowerPoint, and Outlook.
* Adobe Creative Suite proficiency required (InDesign, Photoshop, Illustrator, Acrobat DC)
* Adaptability - Maintain effectiveness in varying environments, tasks and responsibilities, or with various types of people.
* Ability to multi-task and work in a fast-paced environment.
* Planning and Organizing - establish course of action to accomplish goals and evaluates results, develops schedules and task/people assignments, can orchestrate multiple activities at once to accomplish goals, uses resources effectively and efficiently.
