The Executive Administrative Assistant provides a wide range of administrative support, including scheduling appointments and travel, domestic and international; expense report submissions; meeting and conference logistics support; recruiting; purchasing processing and monitoring and space planning, etc. Candidate must demonstrate initiative to follow up on relevant day-to-day activities while keeping supervisor informed of project status and next steps. This office is in regular contact with senior management within and outside of Johnson & Johnson to provide or gather information often of a sensitive nature.

Responsibilities:

* Provides full-time support to one Corporate IT Vice President and direct reports.
* Anticipates executive needs and collect/prepare information for executive review and action.
* Prepares correspondence, prepares and organizes files, assembles relevant data as directed.
* Maintains complex, active and often rapidly changing executive calendar.
* Manages domestic and international travel arrangements.
* Provides supervisor with reminders of upcoming events and project-related deadlines.
* Maintains active list of follow up and action items on behalf of VPs and Sr. Directors, Corporate IT.
* Coordinates, prepares and edits reports and presentations.
* Maintains expense report records.
* Interacts with staff and senior level business partners from regions throughout the world.
* Coordinates and schedules live meetings via Web-ex and Global Connect; Coordinates team events and off-site meetings as needed.
* Under minimal supervision, the executive assistant performs advanced administrative responsibilities, (i.e., compose correspondence based on knowledge of executive's intentions; prepares documents of a highly confidential and sensitive nature; executes rigorous follow-up by insuring issues are resolved and projects completed).

Qualifications

* A minimum of 7 years of experience supporting senior management is required.
* Advanced skills in Outlook, Excel, Power Point, Word is required.
* Experience with web page navigation, Concur, Share Point, WebEx/Skype (BT meetings), Global Connect, Workday, Our Source, Ariba is required.
* Strong organizational skills and being detail-oriented are required.
* Excellent oral and written communication skills are required.
* Strong leadership, interpersonal, analytical and problem-solving skills required.
* Required to exercise sound judgment and discretion, independently assess and resolve complex situations and shift priorities as the need arises.
* Must demonstrate flexibility, while maintaining sense of urgency.
* This position will be located in New Brunswick, NJ.
