Starting Salary Range: $38,268 to $52,649 per year

Employee group: Full Time

Schedule: Monday through Friday 8:30am-5:00pm with occasional evenings and weekends

General Summary/Purpose:

The Sr. Academic Program Coordinator will work with the Director of Executive Education to manage all departmental financial functions. This position manages and analyzes financial operation practices revising and adjusting procedures to create maximum efficiency for a rapidly growing department. This fast-paced position will include financial operations, faculty communication, CRM management, and lead generation through relationship marketing.

The position requires a high degree of professionalism, attention to detail and maintenance of confidentiality along with strong verbal and written communication skills with the ability to communicate effectively at all organizational levels.

Extensive education and/or experience will receive additional consideration for compensation outside of the posted range.

Specific Duties & Responsibilities:

Financial Operations

* Supervise all financial transactions including but not limited to faculty reimbursements, non-employee travel reimbursements, invoices, grants, and contracts.
* Process financial transactions including the more complex cases, such as international clients/vendor as well as purchase orders.
* Provide hands-on transactional support, approval of routine transactions, management of departmental spending, and account reconciliation.
* Ensure that all activities are performed in a timely manner in compliance with the Office of Executive Education, the Carey Business School, University, and external guidelines and regulations.
* As the Office of Executive Education liaison, collaborate with Carey Finance and University accounts payable to assure prompt and accurate payment to vendors and constituents.
* Provide instruction and answer questions relating to budget procedures and serve as a liaison between the business office and Office of Executive Education operations.
* Provide customized financial reports to maximize the overall efficiency and financial success of the unit.
* Ensure that expenditures for budgets are monitored, and that monthly reports are prepared to maintain balanced accounts.
* Oversee maintenance of budget monitoring systems.
* Develop complex financial reports for forecasting, trending, and results analysis.
* Identify budget issues, provide alternative solutions, and resolve problems as required.
* Maintain salary and contracts for faculty teaching in Executive Education.


* Operationalize repeat financial and budgetary functions to promote efficiency.
* Supports all administrative functions for the Office of Executive Education.
* Maintains accurate files for the department.
* Assist with instructor/participant accommodations.
* Order and tracks inventory for all open enrollment and custom programs.
* Other duties as assigned.

CRM Management

* CRM (Sales Force) maintenance as it relates to expense tracking and reconciliation with SAP.
* Consults with the salesforce engineer regarding the tracking of expenses and reconciliation.

Lead Generation

* Qualify leads through follow ups, including emails, calls, supplemental materials, and scheduling meetings.
* Establish relationships with participants and partners to seek out new groups of participants and programming.
* Make course recommendations to prospective participants based on interests and career aspirations.

Minimum Qualifications (Mandatory):

* High School/GED; Bachelor's degree strongly preferred.
* 5 years of progressively responsible administrative/academic related experience.
* Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

* Master degree.

Special Knowledge, Skills, and Abilities:

* Must be collaborative with excellent interpersonal and client services skills and the ability to build solid working relationships across the School and University.
* Knowledge of Salesforce and other related JHU educational support systems.
* Intermediate proficiency in MS Word, Excel and PowerPoint.
* Proven ability to work independently.
* Ability to perform multiple tasks concurrently.
* Ability to set priorities and meet deadlines.
* Strong communication, interpersonal and organizational skills.
* Ability to work with a diverse population, to include faculty, students, staff, and external constituents.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
