Job Description

This role exists to support the Senior Managers of ITSS Application Services, departmental managers and staff.  The individual performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.


Key Accountabilities:

Administrative support is done face to face, electronically, phone, or fax.  Duties include the following:


Daily, as requested:

* Meeting and logistics arrangements critical to the success of the IT function involving people at all levels from Vice President to individual contributor, external suppliers and customers. 

* Composing routine correspondence and memoranda.

* Answering telephone calls, coordinating with visitors and resolving routine and complex inquiries.

* Providing communication and office infrastructure necessary for the supported groups by arranging physical moves, phone rearrangements, office & conference room coordination and equipment ordering and repair.

* Coordinating travel arrangements.



* Ordering supplies and managing the supply budget to ensure the employees always have the correct amount of supplies and resources at their disposal to effectively manage their jobs.  This includes accessing the correct suppliers and sources of materials and maintaining the correct levels of inventory.

* Processing monthly bills and paying invoices.

* Running, analyzing and distributing monthly SAP budget reports detailing SAP account activity for all direct report areas.

* Tracking & matching contractor timesheets & invoices.

* Collecting and publishing operational metrics reports.



* Assisting in preparation of annual forecast & budget.


As Requested:

* Special projects including creation of presentations, handling specific conference duties, creating specific reports or accessing information for those reports.


Key Challenges:

* The technology and tools required for this job are changing and varied.  It is the responsibility of this position to learn and become proficient at the tools of choice for the businesses this position supports.

* The position requires excellent prioritization skills to get all tasks completed. The internal environment, including interaction with others, (both inside and outside the company) policies/practices.

* Relationship management is a key challenge.  The person filling this role must relate to and establish relationships with executives, managers, IT contributors, peers and other administrative assistants.


Knowledge and Experience:

* Excellent time management, organization and prioritization skills required.

* Excellent relationship, personal savvy required.

* Experience and knowledge of the businesses supported.

* Ability to utilize and navigate through SAP.

* Knowledge of the external contacts and relationships to IP.


Required technical skills:

* SAP finance reports & procedures

* Lotus Notes calendaring & scheduling

* Microsoft Word, Excel & Powerpoint



* Ability to learn

* Team player


Preferred candidate will have 6 or more years of experience.
