Job Description

Job Title: Transit Services Administrative Assistant

Pay Type : Non-Exempt (Hourly)

Required skills:

* High school or GED required
* Advanced Microsoft Office to include Word and Excel skills required.
* Must be detail orientated and organized
* Must have impeccable customer service skills

Physical Requirements :

* Must be able to sit/stand continuously for up to 10 hours per day.
* Reach, bend, squat as needed to perform clerical tasks
* Must be able to occasionally lift to 50 pounds

Purpose:

The Transit Services Administrative Assistant assists in maintaining the assigned locations operational and financial information. This position also ensures operational and organizational efficiencies for clients, as well as providing all customers and clients with excellent customer service.

Scope:

The Transit Services Administrative Assistant reports to the Sound Transit Manager providing services to clients, ensuring that standard operating procedures are being followed, as well as assist in creating more efficiencies in maintaining records (electronic and paper) for the assigned locations and auxiliary services.

Job Duties for Transit Services Administrative Assistant

Primary Duties:

Customer Service:

* Answer phones in polite and professional manner.
* Explain transit program to new and current clients
* Emails; read write, answer customer issues, professionally.
* Respond to customer complaints in a professional manner, both by phone and email.
* Able to research problems to resolve issue, both internally and externally
* Ability to handle conflicts and explain policies in a clear and professional manner, in person, by phone and email

Computer Proficiency:

* Proficient with computers and MS products, primarily Word and Excel.
* Comfortable Analyzing\Organizing Data
* Update Weekly reporting spreadsheets
* Create spreadsheets and other documents and suggest way for better reporting of data received.
* Orca card verification


* Compile monthly parking backup documents for daily, weekly and monthly reports

Account Management:

* Create accounts in Paris from pre-approval to approval
* Generate invoices, individual and group.
* Billing: Run manual and auto charges
* Maintain and manage accounts.
* Close accounts
* Assist with other office duties, that are not directly associated with transit services
* Flexible in performing other office duties as assigned.

OmniPark:

* Check daily for multi-violators
* Send tow requests to KCM of ST if needed.
* Enter manual parking notices

Appeal processing:

* Close accounts that fail verification
* Email denial letters
* Evaluate appeals and determine if an account qualifies to be reinstated or not

Permits:

* Generate invoices
* Process payments and refunds to accounts as per SOP
* Mailing permits and other documents for Sound Transit and Tacoma locations
* Stuff envelopes with permits for Sound Transit and Tacoma locations

Accounts payable Sound Transit/Tacoma Locations:

* Prepare vouchers as per SOP for corporate payment
* File paper and electronic accounts payable vouchers

Other:

Meetings:

* Able to attend meetings both in the office and with clients

Travel:

* Car not required but helpful, may need to travel to locations to check and attend meetings as scheduled
* A gas allowance will be provided if using personal car for work related duties as assigned.

Secondary Duties:

Assist with notice appeals

Assist in the office operations in the Tacoma office as needed and scheduled
