Job Description

ROLE: Administrative Assistant

RESPONSIBILITIES AND REQUIRED SKILLS:

Requirements:

* Strong communication skills, both written and verbal
* Bachelor's degree preferred but not required
* Problem solving and analytic skills
* Working skills with Microsoft applications of Microsoft Word, Excel, and PowerPoint
* Teamwork skills
* Positive attitude
* Ability and willingness to acquire U.S. Security Clearance preferred, but not required

Preferred Skills:

* Experience with defect/incident tracking software
* Technical writing skills

This role will be responsible for managing the daily operations of the project, including onboarding and off-boarding off resources, scheduling project level training for team members, creating, tracking the complete closure of project action items.

This role is also responsible to oversee the deliverable monitoring process for the project and provide additional quality control over the process.

PMO Administrator Role Description:

* Provides assistance to Project Manager, Project Controller, Team Leaders and project team members as required;
* Enter, Process and Track Vendor Payments - Windows-based system training will be provided.
* Assists in filing, production and distribution of documentation;
* Provides backup telephone support for project team;
* Coordinates distribution of incoming and outgoing faxes;
* Coordinates and schedules meeting rooms and related equipment and refreshments;
* Incoming and outgoing mail and coordination of couriers;
* Maintains inventory control of office supplies, and copiers and printers;
* Ensures appropriate supplies are on hand - cartridges and paper - for the copiers and printers;
* Produces documents such as letters, memos, minutes etc. as required;
* Logistics of project meetings (e.g. Operations Committee, Management Committee);
* Sets up conference calls
* Help manage the tracking lists (e.g. id badges tracking; maintenance requests);
* Help manage the consolidation of weekly status reports
