Purpose of the Role: Provides high-level administrative and clerical support to School Director  and administrative support to school personnel and HMH resources.  Act as liaison to all executive and administrative personnel in other parts of the organization.  Handles meetings. Prepares correspondence, reports and/or presentations.  Must handle highly sensitive information confidentially, and exercise discretion at all times.


Job Responsibilities:

  • Data Entry, processing, delivery and archiving of correspondence and documentation;
  • Propose rules and procedures to improve the functions of the school;
  • Prepare administrative reports;
  • Facilitate operational work to provide effective educational services;
  • Alternate support to meet the need for teacher absence in order to maintain order in the classroom and continue the instruction pursuant to the master planning for contingency plans;
  • Technical support for the upgrade of data systems DEPR (SIE, SIFDE, TAL, MIPE);
  • Monthly monitoring reflected verifying the data through the use of the Dashboard. Handles mailing, emails and incoming calls/voicemail;
  • Ensure that documents and official forms in the project are signed in blue ink;
  • Create an inventory of materials and equipment sent to schools;
  • Submit regular weekly reports;
  • Prepare special reports when required;
  • Participate in project meetings as requested;
  • Any document related to the project meeting;
  • Prepare materials and documents;
  • Call processing;
  • Coordinate meetings;
  • Handles official correspondence;
  • Assist in the preparation of invoices with its annexes;
  • Create and update project files;
  • Assist in the collection of data needed to prepare the school plan for next year;
  • Collect news, relevant information, developments and activities to be published in the school blog;
  • Assist in the collection of data needed in preparation for internal or PRDOE audits;
  • Researches information and generates reports as needed;
  • Takes the lead within a functional area to work with other administrative support staff in cascading information, recommending, creating, and/or implementing administrative processes, and handling other administrative functions/projects;
  • Handles special projects as assigned and performed other duties related to the role, as needed.



  • Bachelors degree or equivalent in office administration or equivalent.
  • Technical certification or Associates degree may be required in some areas.
  • Experience in Department of Education Dashboard, preferred.
  • Generally 3-5 years of experience in related area of responsibility.
  • Skilled in Microsoft Office
  • Bilingual (Spanish and English-Preffered)
