Job Description

The Development Operations and Information Systems Manager is a member of the Hoag Hospital Foundation team.  The responsibilities of the manager are to:


  • Create a vision for using technology to enhance the Foundation's development operations.  Oversee the development and maintenance of a comprehensive and leading-edge set of technological tools designed to serve a range of internal and external constituents;
  • Manage all the Foundation's technological solutions, in conjunction with Hoag's IT Department, including the design, maintenance and control of the Foundation's hardware, software, and other associated tools, including mobile devices and online services;
  • Develop a business intelligence infrastructure that will enable production of statistical, analytical and decision-making reports;
  • Provide administrative oversight of all database operations, including records management, gift processing, and systems and desktop support for Foundation users;
  • Design, implement and coordinate policies and procedures for daily departmental operations and maintenance of the Foundation's constituent and gift records; and
  • Supervise a staff in the areas of information systems management, gift processing and reporting, and computer training support. The staff includes the Business and Technology Applications Analyst and Constituent and Gift Records Coordinator.  Develop and manage budget for development operations and information systems.


The Development Operations and Information Systems Manager develops solutions for technology, data integrity and report management needs across the Foundation. This position ensures that all technology assets are in place while also having oversight of the constituent data to ensure accurate gift processing, gift receipting and regular reconciliation of donations.  Serves as the first point of reference for all technology, data, and gift processing trouble-shooting.


This position must sustain positive and mutually-rewarding relationships between the Foundation and its donors.  Working in a team environment, 7 s/he will maintain ongoing and active partnerships with internal and external constituents, vendors, Hoag Hospital colleagues and other stakeholders.  The Development Operations and Information Systems Manager exhibits the Hoag Hospital Foundation's characteristics of integrity, confidentiality, diplomacy, responsibility, caring and prudent management of donors' gifts.  This position reports to the Vice President for Stewardship, Donor Relations and Events.


Essential Functions:

  • Engage in long-term strategic planning regarding the Foundation's technology needs.
  • Oversee all planning efforts and projects that lead to the successful, ongoing implementation of The Raiser's Edge, Blackbaud NetCommunity, PaperSave document imaging system, as well as a comprehensive data warehouse and a robust set of reporting tools.
  • Serve as liaison for the Foundation with the Hospital's information technology and finance departments in relation to information systems and other data management needs.
  • Work with the Hospital's information technology department to manage back-end database operations, including security administration, global changes to data, and restoration of back-ups.
  • Collaborate with colleagues to set and accomplish priorities for database configuration, maintenance, security, programming, and administration.
  • Oversee the development of efficient business practices throughout the Foundation and ensure that all policies and procedures are carefully documented and regularly updated.
  • Develop and implement policies and procedures in compliance with government regulations and industry standards for quality data maintenance and accurate, timely gift processing. As required, oversee production of templates for gift receipts and baseline acknowledgment letters. Coordinates acknowledgment letters to major donors with the stewardship team.
  • Monitor the timeliness and efficiency of gift processing and assure that all corresponding links in the database are updated and maintained as gifts are entered.
  • Implement and maintain methods by which donors may contribute to the Foundation, including online donations, credit card submissions, electronic debt transfers, and gifts made in monthly or irregular payments.
  • Develop and implement a program for ensuring data integrity, including bi-annual screenings, automated error-checking reports, and proactive research.
  • Perform statistical evaluations and analyses regarding development records, including reports to the President, vice presidents, the Foundation Board, and others as designated.
  • Oversee the development of training programs for Foundation staff.. Develop and maintain orientation materials for new employees, including sample schedules and checklists, computer software documentation, and office procedures and policies.
  • Perform special projects/tasks and provide assistance as assigned.
  • Perform other duties as assigned.
