Job Description

The Executive Assistant is responsible for providing the hotel executive with administrative support including typing, filing, answering telephones, maintaining appointment calendar, making travel arrangements, note-taking and other general office duties in the hotel's continuing effort to deliver outstanding guest service and financial profitability

What will I be doing?

The Executive Assistant is responsible for providing the hotel executive with administrative support including typing, filing, answering telephones, maintaining appointment calendar, making travel arrangements, note-taking and other general office duties in the hotel's continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks in the highest standards;

Coordinates general manager's calendar and travel schedule, prepares expense reports for General Manager. Assist other Executive Managers with travel arrangements.

Coordinate brand standard waivers, leasing of hotel's showcase windows, handle insurance claims regarding guest incidents. Maintains hotel contracts ensure these are updated and certificates of insurance are on file as needed.

Manages incoming mail, date stamps and distributes accordingly. Log incoming checks for the finance department. Sends outgoing mail, both interoffice and outside of hotel. Routes mail, faxes and other printed matter. Maintain and track gift certificates program.

Schedules departmental meetings, prepares agendas and take minutes for department head meetings ECM, Financial Review, Tactical, etc.

Represent General Manager in dealing with inquiries and respond on behalf of General Manager. Answer telephone and assist internal and external guests with requests. Handle correspondence including responding to SALT surveys, Trip Advisor, guest complaints on behalf of General Manager. Work with City of Chicago, neighborhood residents, hotel owners and senior Hilton management on a regular basis to handle reservation requests, coordinating meetings with hotel management, tours of hotel and special requests

Maintains the Drake Historical information and works with Marketing Manager on editing, preparing, publishing original and reprints of Drake history books for use and purchase in designated areas. Hotel contact for arcade store tenants and longer term lease tenants as well long time guests, special guest requests and celebrities.
