POSITION SUMMARY:

This full-time hourly position will organize, administer, and audit the execution of the Reasonable Alternative Standard. The administrative assistant duties will operate under the guidance of the Health Management Staff. The administrator role is a critical member of the support staff, providing personalized secretarial and organized administrative support as needed to the executive in a professional and timely manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Reasonable Alternative Standard Administrative Assistant duties: Administering the RAS forms at members request, inclusive, but not limited to the following:

* Compiling and organizing RAS procedures by company, tracking and communicating those that are outside our standard methodology, and collaborating with Health Management staff to ensure communication and execution of the RAS can be administered.
* Fielding member RAS requests, explaining process and member program requirements
* Putting together the form for the RAS with appropriate return date
* Retrieving forms as returned and appropriate documentation
* Organizing, retrieving and documenting final qualification status administered by the health management team
* Calling members on status and consulting with health management team on qualification issues
* Consulting with account management team on RAS administration or qualification requirements as needed
* Executing RAS audits to ensure proper recording of qualification status in the E-Synergy reporting and compliance reports

Executive Health Management Administrative needs include:

* Primary point of contact between the executive and internal/external clients
* Maintain executive corporate calendar of all all-hands events, conferences, holidays and vacations
* Handle requests, feedback and queries quickly and professionally
* Maintain daily electronic journal, arrange meetings and appointments and provide reminders as needed
* Arrange executive travel, hotel and dining arrangements as needed
* Take dictation and meeting minutes, accurately enter notes and distribute
* Monitor office supply levels; reorder when appropriate
* Produce professional quality reports, presentations and briefs
* Develop and carry out an efficient documentation and filing system for both paper and electronic records

Health Management project assistance:

* Using area of expertise to answer questions from the web portal
* Monitor the timeliness of execution and quality of content
* Maintain Coach Chat monthly schedule
* Escalate possible participant issues when appropriate
* Update training manual as needed
* Train new coaches as needed
* Daily mail merge of fulfillment letters and course completion certificates
* Other duties as assigned

REQUIRED KNOWLEDGE SKILLS AND ABILITIES:

* Full knowledge of MS Office systems and procedures
* Proficiency in English; second language a plus
* Exemplary planning and time management skills
* Ability to stay calm and on-task in high-stress situations
* Ability to multitask and prioritize daily workload
* High level verbal and written communications skills
* Discretion with personal and confidential information
* Cross training with other administrative teams

COMPUTER SKILLS: Intermediate/advanced proficiency with Microsoft Office Suite

EDUCATION AND EXPERIENCE: Minimum 2 years experience as an Administrative Assistant, Executive Assistant or in other secretarial position
