Administrative Assistant

Job Responsibilities:
This role requires a person to efficiently support day-to-day operations working closely with the Environmental Planning Operations Administrator. The individual must demonstrate competence in working cooperatively with others, anticipating and responding to the needs of the team to meet their expectations, and strong communication skills to work successfully with teams located in multiple offices.

Meeting Support
* Compile data and support senior staff to create presentation material
* Order catering for meetings
* Book and schedule Skype/Lync meetings, boardrooms in various offices, and conference calls
* Take detailed notes and distribute meeting minutes

Project Support
* File project material and close projects (physical files, electronic files, accounting files)
* Assist project managers and project directors with Golder Associates Integrated Management System (GAIMS) or ISO (when applicable) compliance for audits
* Support for Project Sites and Group Sites using Microsoft SharePoint and Office 365
* Utilize Microsoft Dynamics Client Relationship Management software to open opportunities, proposals and projects as well as update client information)

General Administration
* Timesheet and expense entry support, as directed by supervisor
* Travel arrangement support, as directed by supervisor
* Respond to administrative process inquiries (how-to; who to go to for what)
* Day-to-day coordination, monitoring and billing operating unit equipment and vehicles
* Support office / workstation moves
* Coordinate Operating Unit / Group events
* Support in creating flow charts (PowerPoint)
* General filing
* Research suppliers and obtaining quotes for equipment purchases
* Track training needs
* Conduct research, compile data and prepare: correspondence, presentations, spreadsheets, charts, forms etc.
* Prepare mail/courier packages for shipping
* Provide back-up support in document production/word processing (if need is identified), as required
* Provide support to the Operations Lead / Group Leads and Operations Administrator, as required

Job Requirements:
This job requires the following skills and qualifications:
* 3 to 5 years of administrative experience
* Strong verbal and written communication skills
* Demonstrates good judgment and a high level of confidentiality
* Detail-oriented with an emphasis on quality of work
* Excellent organizational and teamwork skills
* Ability to prioritize and multi-task on a variety of administrative projects in a fast-paced changing environment
* Solid understanding of Microsoft Office Suite and Acrobat (intermediate to advanced skills on Word, Excel, PowerPoint)
* Experience with Microsoft SharePoint (not mandatory, but would be considered an asset)
* Experience with Microsoft Dynamics (not mandatory, but would be considered an asset)
* Ability to identify and implement administrative solutions to streamline work for the team
* Ability to make decisions of moderate complexity with input from senior staff
