Job Responsibilities:
Reporting to the NEA leadership team, the Facilities Supervisor will be responsible for the overall operation and maintenance of our buildings and laboratory facilities across south and central Ontario. We currently have responsibility for offices and laboratories in Mississauga, Whitby, Markham, Barrie, Cambridge, St. Catharines, Thunder Bay and Buffalo and Horseheads, New York. The successful candidate will ensure that our physical locations are maintained and functioning to a standard commensurate with a professional engineering and environmental science consulting business.

Typical duties of the Facilities Supervisor are expected to be:
* Travel to and inspection of our facilities, as well as liaising with staff across our various locations to identify building maintenance and upkeep requirements;
* Participating in Safety Inspections of our facilities and implementing recommended changes to ensure the health and safety of our occupants;
* A thorough understanding of our tenant responsibilities for maintenance and upkeep in each of our locations;
* Reviewing and ensuring facility compliance with applicable workplace legislation, codes and permit requirements;
* Procuring and managing of standing contracts with qualified trades for specialized building maintenance: plumbing, HVAC, electrical, roofing, cleaning etc.;
* Prioritizing, budgeting and planning of capital expenditures for facility maintenance and upkeep;
* Coordinating and directing appropriate utilization of space: monitoring of occupancy levels, planning of renovations, furniture requirements, etc.;
* Procuring and facilitating office moves;
* Procuring service contracts for HVAC, cleaning, security in accordance with our lease requirements;
* Communicating with staff of non-routine facility maintenance which may disrupt normal business functions;
* Acting as an emergency contact for security purposes;
* Maintaining office furniture inventory;
* Interacting, supporting and directing junior counterpart in our eastern offices (Montreal, Ottawa, Halifax etc.); and
* Performing routine non-specialized maintenance from time to time and other duties, as required.

Position Challenges:The Facilities Supervisor position will require monitoring of maintenance issues across a wide network of regional office locations. The position will require the employee to review the identified issues considering multiple factors including budget, time to correct/implement, business interruption, safety and business risk. The Facilities Supervisor must be able to make sound recommendations to the leadership team to resolve identified issues effficiently and cost effectively and be able to effectively communicate the rationale for the decision to the leadership team and internal stakeholders. The Facilities Supervisor must be able to manage external service providers such as contractors, tradespeople and suppliers to ensure the smooth execution of contracts and projects. The Facilities Supervisor must be able to work remotely with a junior counterpart in Eastern Ontario, Quebec and the Maritimes to assist in supporting a similar level of service to offices in those areas. To minimize business interruption, some work after normal working hours and on weekends will be required.

Decision making:The decision making authority of the Facilities Supervisor for capital expenditure sits below the Authority and Risk Matrix and as such spending decisions must be referred to the line management structure. The position will be largely self-directed and the Facilities Supervisor will have the authority to prioritize daily tasks and schedule, including the need to visit the various Golden Horseshoe offices within an established expense budget.

The position will be responsible for identifying maintenance and repair priorities, maintaining standing maintenance and supply contracts, sourcing qualified suppliers and tradespople to carry-out the work and making recommendations to the line management structure on maintenance priorities. In the management of maintenance and repair contracts on behalf of the company the Facilities Supervisor will have the authority to adjust project schedule, sequencing and approach as long as the overall budget is not affected an appropriate course of action. As well, the Facilities Supervisor will have the authority to review and recommend changes to existing local supply contracts.

Job Requirements:
The successful applicant will have the following minimum qualifications and experience:

1. A Diploma in Building Science, Architecture is preferred; or related equivalent experience a must;
2. Five to ten years of experience in property management;
3. Familiarity with routine, non-specialized maintenance tasks and tools;
4. Experience in project management and engaging with internal and external stakeholders;
5. Ability to manage multiple tasks and projects simultaneously;
6. Demonstrated experience in estimation and tracking including work, operating and capital cost, gained through directly related job experience or a combination of formal training and on-the-job training; and
7. Excellent written and verbal communication skills in English and including report writing, position paper development and publication/presentation of research results
