Role Summary/Purpose

The Executive Assistant will proactively coordinate multiple executives' calendars, which are comprised of heavy meeting schedules and extensive travel. In addition, this role will provide overall office management and administrative support for the GE Additive Sales Executive. This is an exciting opportunity for someone who is self motivated & comfortable using technology & operating at senior levels in an organization.

Essential Responsibilities

In addition you will :

Identifying conflicts and resolving promptly

Making complex travel arrangements and coordinating itineraries, including: domestic / international and required Visas

Maintaining reconciliation of AMEX expenses as required in accordance with GE guidelines using Concur

Providing diverse and advanced administrative duties for executives and provide support to the staff on an as needed basis - including creating presentations, documents, spreadsheets as needed

Coordinating, developing, and implementing team activities and meetings

Providing discrete and confidential coordination of sensitive company information

Preparing correspondence, invoices, distribution lists and other documents as requested and maintain files, both electronic and hard copy, using PowerPoint, Word, Excel; as well as, web tools such as Skype

Knowledge of various technology tools, (e.g. iPhone)

Ability to prioritize and anticipate needs

Ability to maintain confidentiality of highly sensitive information

Ability to deal with ambiguity and handle stressful and difficult situations with composure

Ability to balance workload under short deadlines and changing priorities in a fast-paced environment

Providing overall office management and administrative duties such as phone coverage, call screening and correspondence

Anticipating needs and accomplishes responsibilities without direction

Manage multiple projects and priorities and initiating follow up to ensure timely achievement of commitments

Other tasks include conducting research, faxing, photocopying and mailing


Bachelor's degree from an accredited university or college (or a high school diploma / GED with a minimum of 4 years of experience in an administrator role)

Minimum of 6 years of experience in an administrative role (including experience supporting executive level clientele)


Ability and willingness to work a flexible schedule as required - including potential overtime

Ability to interpret administrative and operating policies and procedures for employees
