POSITION SUMMARY:

The Lifestyle Department Administrative Assistant is a part time position providing administrative support to the Lifestyle Manager. Working under the direction of the Lifestyle Manager and serving as a primary contact for the Continuing Education Classes/Programs of the Lifestyle Department Activities Division and assisting with Special Events as necessary.

POSITION RESPONSIBILITIES:

Verify & input room/event space reservations, confirming arrangements with contractors, instructors, vendors, collecting required tax forms, and aiding the day of the class for Triple L Lectures; Prepares contracts and check requests.

* Acts as Department Lead for the Triple L volunteer group that assist in the overall recruitment and coordination of this program. Attend monthly Triple L meetings.
* Assists in the recruitment of class instructors/speakers for Triple L lectures and other assigned classes.
* Attend weekly team meetings and monthly department meetings
* Work with the Lifestyle Manager on Triple L lectures/budget as needed.
* Assists in tracking Triple L revenue and expenses.
* Provides support and assistance to the Lifestyle Manager & Lifestyle Coordinator as needed.
* Coordinates and leads classes/events as needed and/or directed.
* Create, proof and edit newsletter, revising grammar and punctuation for Triple L lectures. Organize articles within the specific publications guidelines and categories.
* Meet specific deadlines as they pertain to specific copy and publication process.
* Create and submit monthly promo information for Huntley Community Radio.
* Run errands as directed; Complete other assigned tasks.

OPERATING SKILLS, KNOWLEDGE & ABILITIES:

Education/Training:

Associates Degree in Recreation, Administration, or Business

Two to three years previous experience in a retail business, customer service or cash-handling environment, assistant in program coordination (events and/or one-day trips)

Experience/Knowledge/Abilities:

2 to 3 years of customer service experience.

* Demonstrated customer service skills
* Professional demeanor
* Desire to take ownership and personal responsibility for assignments
* Basic plus knowledge of Word. Knowledge of Excel and PowerPoint
* Basic knowledge of a Microsoft Publisher programs to update in-house Triple L poster information.
* Strong written and verbal communication skills
* Flexibility and willingness to handle a variety of tasks
* Self motivated; demonstrated interest in taking initiative, anticipating needs, carrying projects through completion with minimal direction, and working with a high degree of accuracy and if necessary, urgency
* Detail oriented, with the ability to produce high quality work in a deadline-oriented environment
* Ability to multi-task
* Understanding of basic business accounting.
* Strong organizational skills and ability to meet specific deadlines
* 1 to 2 years of volunteer management and/or program coordination a plus.
