Job Description

Staff Assistant to the Director of Submarine Material Engineering and Lab Services (D341). Responsible for all administrative functions required to support the directorate. This position requires administrative performance at the highest levels. Job functions include presentation preparation, document typing, filing, domestic and international travel arrangements/expenses, meeting arrangements and agendas, correspondence, business letters, ordering supplies and general office duties. The position requires excellent communication with all levels of management, numerous customers, suppliers and sites. Overtime is required. This director staff assistant should be viewed as an "expert" resource for administrative requirements, and a leader among the administrative team.

In addition to the above assignments, the staff assistant is expected to perform the following administrative duties:

* Preparation of presentations.
* Maintaining required files for all department originated documentation.
* General secretarial services such as answering the phone, telecommunications services, distribution of department mail, and ordering supplies.
* Maintain the director's calendar and manage the director's email.
* Coordinate conference rooms for staff and directorate meetings.
* Coordinate directorate service award ceremony preparation and execution.
* Upkeep of Organizational Metrics
* Action tracking to closure, delegating and holding people accountable for work

Education/ Experience

Required:

* High school diploma or GED
* Three years secretarial/administrative experience
* Active Secret Clearance

Preferred:

* College Degree
* Program experience and/or engineering administrative experience
* Experience on the NNPP Net or CITIS

Skills

This position requires strong verbal, written and organizational skills as well as the demonstrated ability to effectively interact with a wide range of personnel within EB and outside of the company including HII-Newport News, NAVSEA, KAPL, and various suppliers. Demonstrable leadership qualities (approachability, team engendering, setting expectations, etc.), work ethic, technical expertise, and awareness of the program objectives are all expected to be among the highest in the office and are strongly preferred. A demonstrated level of competence and proficiency regarding all MS Office products, including Word, PowerPoint, and Excel as well as other related EB systems (CONCUR, Lotus Notes, etc.) is required. The ability to handle information with the proper levels of discretion and safeguarding is essential. The successful candidate must be capable of a high volume of work output with a high degree of accuracy. Must be able to work independently, be self-motivated, and have the ability to prioritize tasks. A solid working knowledge of related EB policies and procedures is strongly preferred.
