Job Description

Basic Function

Assists the Purchasing Manager in all areas related to supply management. Support food and beverage testing initiatives by coordinating logistics, communicating timelines and follow-up.

Job Duties

  • Collect, maintain, and provide food and beverage test survey results
  • Send out request for and coordinate collection of periodic inventory data from hotels on test items during the testing cycle.
  • Works with other internal departments to gather and organize feedback from food and beverage testing process.
  • Provide analysis and support to food and beverage managers in the area of guest pantry reporting.
  • Provide direct support to hotels on issues with orders, order guides related to guest pantry and broad line food programs.
  • Support food and beverage managers with new hotel local liquor and beer distributor set up and coordinating timing with Operations as related to licensing.
  • Initiate and track dishwasher and dishwasher chemical installs.
  • Weekly report out on food distribution performance by reviewing weekly reports and providing notice of any 
  • nonconformance.
  • Collect, track, and report all food rebates and commissions. Work closely with Accounting to provide accurate reporting.
  • Serve as primary point of contact when Manager is not available.
  • Research, prepare, and initially analyze various project reports, cost savings analysis, and request for quotations.
  • Prepare spreadsheets and documents for purchasing manager and food and beverage manager as required.
  • Assist in onboarding of new equipment suppliers for new construction and renovated hotels.
  • Manage phone calls when Manager is not available.
  • Record, distribute, and maintain minutes from meetings as needed.
  • Responsible to indentify and support sourcing /cost savings projects.
  • Work closely with Purchasing Manager to select best suppliers for specific projects.
  • Stay current with the market and competition to apply the latest technology to projects.
  • Provide ideas and suggestions for product improvement.
  • Create, release, and expedite purchase orders and sales orders as assigned.
  • Request/maintain material number data.
  • Reconcile supplier invoices in the SAP system as needed.
  • Review specifications and particular characteristics together with Manager and other staff as appropriate.
  • Participate in new product and standardization teams.
  • Support supplier quality improvement initiatives through supplier selection and preventive QA measures.
  • Support equipment purchases
  • Assist customer service with food and beverage or equipment issues.
  • Will attend weekly customer service meetings.
  • Domestic travel may be required.
  • Perform other essential and related peripheral duties as may be assigned.

General Knowledge, Skill and Ability

Experience in SAP database entry, retrieval, and report preparation (preferred).

Successful experience of working within an administrative role, demonstrating a wide range of organizational skills.

Has effective working knowledge of Excel, Word, and Outlook; SAP a plus.

Possesses strong internet research skills in order to provide information for various projects & reports.


Minimum – High School Graduate + 5 – 10 years of commensurate experience.

Preferred – Associate Degree in Business or greater + 3 – 5 years of commensurate experience.
