Responsibilities

WHAT DOES A STAFF ASSISTANT DO? A Staff Assistant serves as a staff advisor and liaison between management and appropriate support functions on all matters pertaining to administrative and management issues. They participate in planning and coordinating programs, projects, or processes which impact functional customers in the areas of recruitment, human resources technology, facilities, financial management and security.

As a Staff Assistant you will:

* Manage internal administrative assignments.
* Monitor activities to ensure timeliness, consistency and completeness.
* Review responses, reports, and memoranda to develop consolidated responses on behalf of the organization.
* Perform special studies and research projects or assignments, which require confidentiality and application of expertise and mature judgment.
* Assess the need for and establish and/or adapt administrative procedures and practices to be used in highly unusual situations requiring deviation from standard administrative procedures.
* Keep the supervisor advised of developments and progress concerning problems and follow up with the responsible official to expedite necessary action and final settlement of the issues.
* Personally review all important incoming and outgoing correspondence, coordinating routing and the control of notes and suggestions concerning the subject matter involved before referral to the supervisor.
* Advise manager on required personnel actions, performs delegated duties as assigned, supports and manages multiple administrative processes.

You must meet the following requirements by the closing date of this announcement.

GS-12 LEVEL: You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-11 grade level in the Federal service. Specialized experience for this position includes: demonstrating knowledge and skill in acquiring, validating, and analyzing information, drawing conclusions, forecasting work, and developing alternatives; Knowledge of extensive operating programs and the interrelationships among them to perform program analysis; Skills to deal efficiently and effectively with top level executives, as well as taxpayers, to establish and maintain effective relationships and gain confidence and cooperation; Skill in written and oral communications sufficient to prepare and present findings and recommendations, carry out specific action regarding controversial issues, and develop material for use in public speaking engagements.

GS-13 LEVEL: You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-12 grade level in the Federal service. Specialized experience for this position includes: demonstrating extensive analytical and evaluative methods and understanding of the administration of programs to participate in the assessment of program development, determine appropriate evaluation and measurement techniques, identify significant program or resource issues, and improve management processes and systems. Extensive knowledge of the operating division's organization, policies, practices, and program objectives sufficient to participate in the development of guidance, assessment of resource utilization, and development and implementation of changes to current processes and procedures. In addition, your experience should demonstrate the ability to apply practices and methods of financial management, this can be demonstrated by assignments where you prepared and maintained the financial plan involving all categories of expenditures and participated in the budget process involving financial review and analysis; Oral and written communication techniques to present plans and proposals convincingly, negotiate effectively, and reconcile conflicting interests and points of view, as well as the ability to maintain effective relationship with others sufficient to reach agreement on changed work practices and objectives.

* The experience may have been gained in the public sector, private sector or Volunteer Service. One year of experience refers to full-time work; part-timework is considered on a prorated basis.
