Position Title Gift Planning Assistant Department Gift Planning Position Number 0705900 Hiring Range Minimum $17.75/hr Hiring Range Maximum $22.25/hr Advertisement Text Position Purpose

Responsible for assisting Gift Planning officers in the overall management and implementation of the College's national gift planning efforts. With minimal supervision, performs a variety of gift management, donor/volunteer management, gift tracking/reporting and general support functions.

Required Qualifications

* Associate degree or the equivalent combination of education and experience with two to three years of relevant experience; or the equivalent
* Intelligence and professionalism that earn the respect of colleagues, volunteers, and donors
* Capability to build and maintain working knowledge of planned gift vehicles, federal tax law and regulations that govern charitable giving
* Ability to manage confidential information with high level of discretion
* Sensitivity to the needs, attitudes, and situations of donors and volunteers, particularly older ones
* Effective verbal and written communication skills
* Facility with specialized computer applications such as PG Calc
* Skill with PC computers, MS WORD, MS Excel, PowerPoint, Filemaker and other applications
* Collegial and service-oriented
* Engaging personality and sense of humor
* Excellent attention to detail

Key Accountabilities

Key Accountabilities

* Under the supervision of Gift Planning officers, drafts individually-tailored gift presentation letters describing life income trusts, real estate, life insurance, personal property and other planned giving vehicles for prospective donors. Manages internal and external gift paperwork, including trust agreements and tax documents. Manages the tracking of gifts for Donor Advised Fund and works with outside charitable organizations to prepare documentation for gift transmittals. Accomplishes the initial processing of gifts of securities and cash; facilitates gift transfer. Produces customized gift termination documents after evaluating the individual circumstances of each donor. Responds to information requests about status of donor's gift. Performs special services for donors as well, such as making hotel reservations, arranging special appointments and presentations, etc. Services and cultivates volunteers, particularly Class Gift Planning Chairs. Responds to requests for information about class planned gift activity and coordinates proactive communication to volunteers with overall strategy of Gift Planning program. 40%
* Monitors planned gift activity on an on-going basis, supplying weekly, monthly and annual reports to Director and Vice President. Researches, collates and produces in-depth annual statistical report comparing gift planning activity with historic results of program. Prepares PowerPoint presentations for meetings. 30%
* Arranges meetings and assists with travel arrangements for Gift Planning officers as needed. Creates and maintains accurate itineraries, performs calendar management and manages the gift planning email account. Works with Gift Planning officers to prepare materials for donor review. Assists with post-trip follow-up including correspondence, research, other next step items and trip expense accounting. Assists in answering phone calls, greeting visitors and transferring calls. Processes and files correspondence, memos, reports, invoices, etc. Assists the Gift Planning officers with specific projects including special events, trust anniversary letters, and Bartlett Tower Society promotions, and drafts Bartlett Tower Society welcome and acknowledgement letters. Works with the ADVANCE system to update and maintain information. 30%
