Job Description

This position reporting to the Customer Service Manager will be responsible for:

  1. The supervision and development of the Sales Administration Team
  2. To create and contribute to a working environment where employees will be self-motivated to perform in a manner that is congruent with Dart’s Values, Culture and Philosophies (VCP’s)
  3. To participate and collaborate cross-functionally with all departments as required in order to support the administrative needs of our sales organization and our customers

Day-to-Day Role:

1. Supervise and develop the Sales Administration Team as follows:

  • Coach and counsel direct reports in an effort to help them achieve an acceptable level of performance. This thought and action will be undertaken congruent with the VCP’s, company guidelines, business rules, policies and procedures.
  • Define and implement “smart” goals that lift the performance standard for the department and develop team to perform at established standards.
  • Provide consistent written and verbal developmental feedback to direct reports to improve and develop skills.
  • Actively engage in performance management
  • Manage sales administration workload to ensure successful completion of tasks against timelines set
  • Prioritize workload as needed
  • Coordinate projects with team to completion
  • Coordinate training programs for the team.
  • Ensure coverage for staff during absences
  • Ensure cross training is implemented to provide backup coverage
  • Act on escalation matters from the team
  • Approve vacation and time requested off
  • Actively participate in the interviewing and selection process for direct reports
  • Maintain departmental KPI’s.
  • Make recommendations to management for decisions outside normal company guidelines


2. Achieve administrative efficiencies by coordinating and prioritizing the following administrative tasks (not a comprehensive list) for the Sales Administration Team.

  • Sales reports, data consolidation and analysis
  • Create customized customer facing reports and documents
  • Processing a high volume of requests via email and phone calls from the sales team and customers
  • Creating memos, handling correspondence, data entry and other documents as necessary
  • Filing/scanning
  • Developing/enhancing key presentations
  • Listing /cost change forms
  • Certifications
  • Supporting the customer enquiry / inside sales process
  • Preparation of proposals and price lists
  • Supporting the contract process
  • Graphics art request process
  • Image requests
  • Sample request process
  • System generated price lists
  • French translation of documents
  • Maintaining floor stocking agreements to support forecasts for end user accounts
  • Updating tracking reports for department and cost analysis
  • Documenting departmental processes
  • Departmental projects

Core Skills and Qualifications:

The ideal candidate must possess all of the following:

  • 3-5 years supervisory related experience
  • College graduate in business or university degree required
  • Strong leadership and people development skills
  • Strong analytical skills for strategic decision making and problem solving
  • Ability to prioritize workload in order of importance and work well under pressure
  • Ability to manage multiple tasks and meet deadlines
  • Demonstrate “personal accountability” in all areas of position performance
  • Demonstrate conflict resolution skills
  • Excellent interpersonal skills
  • Advanced level skills with Microsoft outlook, excel, powerpoint and word
  • Excellent verbal and written communication skills
  • Adaptable to change
  • Superior presentation skills
  • Strong negotiating skills
  • SAP experience an asset
  • Bilingual in French as asset
