Responsibilities

GENERAL SUMMARY:

Jimmy Fund Golf is the oldest and largest organized charity golf program in the nation. The program supports over 160 annual volunteer-run golf tournaments around the country. In 2018, Jimmy Fund Golf events collectively raised over $8.1 million for groundbreaking research and care at Dana-Farber Cancer Institute. Jimmy Fund Golf stands alone as a comprehensive example of the good that can be achieved by hundreds of volunteer tournament organizers and thousands of golfers who are united in their desire to connect their love for the game of golf to a higher cause - funding cancer care and research. The Jimmy Fund Golf Officer position is responsible for helping the program and the entire Division achieve their revenue goals by assisting a portfolio of volunteer-run events and consulting with them on fundraising best practices and event logistics. This position also oversees the recognition pieces and events in place to steward Jimmy Fund Golf constituents and strategizes on new ways to acknowledge and show appreciation for our supporters. PRIMARY DUTIES AND RESPONSIBILITIES:

3rd Party Event Support (Advocate)

* Primary tournament contact (advocate) for a large portfolio of Jimmy Fund Golf (JFG) events cumulatively raising approximately $750,000+
* The advocate's role includes:
* Create pre-season plan with specific goals for each tournament
* Attend committee meetings for events raising $15K+ to provide support and guidance
* Record and execute JFG action items for each event
* Provide & continually update revenue projections for each tournament
* Keep records of suggested/implemented ideas to increase fundraising
* Complete annual post-tournament analysis & suggest new areas for change/growth


* Ensuring thorough support of tournament committee
* Supporting JFG team on high revenue producing events as assigned
* Increasing/maintaining fundraising through continual analysis of revenues and expenses
* Serving as an advocate for new tournament prospects with higher potential
* Completing approximately 25 annual donor visits. Follow up each visit with a timely call report
* Ensuring tournament directors remain compliant with JFG and DFCI policies/procedures
* Attend select JFG events as assigned to speak on behalf of DFCI and/or provide logistical support

Jimmy Fund Golf Stewardship/Donor Relations Liaison

* Responsible for overseeing all stewardship & Donor Relations initiatives under the supervision of the Associate Director
* Develop strategic project plans for all related programs, initiatives and events
* Manage relationship with the Donor Relations team
* Collaborate with Donor Relations and ensure successful execution of Golf's stewardship events
* Manage and lead all areas of the event planning (i.e. venue logistics, budget, correspondence, invitations, event itinerary, speaking points, briefings, follow-up materials, awards, gifts, acknowledgements, etc.)
* Events include:
* Golf Appreciation Night
* Jimmy Fund Golf Classic (strategic plan and wrap up report required)
* Opening Day at The International
* Golf Night at Fenway
* Other stewardship events as assigned


* Reports and publication distribution
* Coordinate all restricted/unrestricted funding report requests
* Work with Donor Relations to ensure all golf events that raise more than $50,000 through their event receive a narrative report annually.
* Ensure proper distribution of all golf stewardship materials and DFCI/JF publications to appropriate volunteer parties
* Awards/Recognition:
* Create, track and distribute all tournament related awards and recognition materials
* Facilitate all plaque recognition at DFCI with JFG advocates & Donor Relations team
* Oversee intern as he/she carries out the plan for holiday card and all stewardship related e-blasts annually
* Oversee intern in annual ordering, tracking and distribution of stewardship gifts
* Manage anniversary award distribution and tracking
* Manage the Honor Roll publication
* Coordinate JFG's list logistics for the Honor Roll publication
* Facilitate list/content approval process for JFG staff
* Suggest and implement ways to streamline list creation/approval processes
* Work with Donor Relations team to adhere to timelines and policies


* Miscellaneous Stewardship Projects
* Manage holiday communications plan with assistance from intern
* Manage plan for all Volunteer Week communications
* Manage ordering, inventory and tracking of all donor gifts
* Manage intern on the stewardship plan for $1,000+ gifts
* Manage the tour program, resources, and logistics for the JFG team
* Continuously evaluate the stewardship program to ensure processes are streamlined and JFG is stewarding donors in the most effective manner
* Propose changes to improve the stewardship program where necessary and share new ideas
* Other projects as assigned



Development and Management of Mini Golf Program

* Build and manage strategic plan to promote JF Mini Golf Program to internal and external prospects
* Recruit new mini golf events to reach annual program revenue goals
* Create and manage marketing plan for Mini Golf Program in conjunction with Philanthropy Communications and JFG marketing staff
* Create and maintain all mini golf marketing and educational materials including:
* Online Mini Golf Resource Center
* Mini Golf Event Organizer Binders
* Hard copy promotional/informational materials
* Master schedule of mini golf marketing/advertising
* Report year end new mini golf inquiry results and ongoing mini golf tournament results and analyze data for future changes to the program and processes

Intern Management Supervisor

* Supervise the hiring of interns in conjunction with Officer #2
* Supervise maintenance of relationships with college counselors
* Manage Intern (January to June) and supervise workload and overall internship experience for student workers

Administrative/Other Tasks

* Create project plans and wrap up reports as assigned.
* Develop a working knowledge of all golf systems (ClearView, Sphere/Luminate, EMS, PeopleSoft, etc.).
* Participate in annual Service Unit "drill-down" meetings as appropriate.
* Attend all mandatory meetings required of this position.

Other Projects/Duties as Assigned

SUPERVISORY RESPONSIBILITIES:

Reports to Associate Director. This position has supervision of one intern and will seek major decision-making authority from direct supervisor. However, independent decision-making on day-to-day tasks and good judgment is required for dealing with Institute donors, trustees, volunteers, and senior staff and confidential information.

Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelor's degree required with a minimum 3-5 years of professional experience.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Organized and detail oriented with excellent written and oral communication skills; possess the ability to work well with DFCI Departments and donor/volunteer constituencies; juggle multiple projects and work independently in a fast-paced environment. Strong word processing and Excel skills and working knowledge of Microsoft Office are required. A high degree of confidentiality must always be exercised.

WORKING CONDITIONS:

This position is located in Boston, MA. Some travel, attending events as well as off-site volunteer committee meetings on a regular basis. Speaks on behalf of Dana-Farber and the Jimmy Fund at several events. Requires light lifting for event set-up. Weekend and night work are required occasionally.
