Job Summary

Office Operations and Administrative Manager - Chicago

This working manager position is responsible for providing office management and administrative and operations support to the Chicago office along with leading the Chicago office services team. The position requires extensive administrative, people, communication, organizational, planning and project management skills. Reports to the Regional Manager and is a member of the Global Services (GS) team.


Operations and Office Management

* Responsible for business planning and strategic office initiatives in collaboration with the office managing partner (OMP), including employee welfare activities and events, charitable/civic and local contributions and sponsorships.
* Collaborate with the OMP on managing the local office budget and provide budget to actual analysis and forecasting as well as coding and approval of invoices.
* Responsible for implementation of firmwide policies and standards at the local office level in collaboration with OMP.
* Lead day-to-day office operations and facilities including working with Firmwide Real Estate on space improvements and design, space utilization reporting and safety and security.
* Prepare and deliver office related communications.
* Working manager, providing support to business practice groups and assistance in operational areas including front office, meeting and mobility services, records and mail, and production and assembly of tax returns.
* Manage new hire local office orientation, new hire planning and set-up process.
* Develop, edit and format documents, presentations, spreadsheets and other deliverables.
* Prepare and distribute various office and business reports and perform data analysis and reconciliation as well as summarize trends and provide recommendations.
* Manage various local office and firm projects from start to finish including developing project plans, communications and follow up.
* Use extensive knowledge of internal business practices and priorities to proactively respond to daily issues and requests as authorized, keeping them apprised of critical issues.
* Utilize tracking systems to ensure all time and materials are recorded, project work is prepared and tracked, and project instructions and client interactions are fully documented.

Team Leadership

* Lead local office services team including career coaching, development, performance management and scheduling of work to create vision and establish goals
* Lead local GS team meetings including agenda focused on learning, cross-training, team building, and sharing information and best practices.
* Review time and expense, deliverables and work flow with team to ensure adequate coverage relative to local office support needs.
* Serve as contact for local project support or special projects aligning resources based on skill, availability and interest.
* Continuously assess staffing and skill needs and local services provided to internal clients.
* Serve as liaison between leadership and other client service professionals to better understand local support needs and develop operational support plan based on these needs.
* Evaluate and encourage process improvement to provide effectiveness as well as design, enhance or implement core work processes and work flow to improve operations services delivery.

* College degree is highly preferred.
* Ten or more years of experience as an office operations and administrative manager in professional services financial or accounting firm environment.
* Ten or more years of experience as a performance manager, leading, coaching and developing teams.
* Strong people services leadership skills with focus on team building, career development and recognition.
* Highly effective and polished oral and written communication skills and competency in grammar and attention to detail.
* Leads through example by establishing goals and driving results quickly through excellent coaching and facilitating.
* Extensive administrative background with experience working on documents, reviewing for quality assurance and managing projects and initiatives within office administration and operations.
* Advanced level of expertise in Microsoft Word, PowerPoint, Excel, Adobe Professional, Outlook, and web based applications are required. Expertise in Visio and SharePoint is preferred.
* Experience managing office operations budget, including forecasting and analysis.
* Familiar with using billing systems and with financial terminology and impact of financial transactions.
* Exercise a high degree of discretion, technical competence and administration in bringing thought leadership and creativity to content and design of projects and presentations.
* User expertise of office technology equipment such as videoconferencing, MFD's and LCD projectors.
* Professional presence, positive attitude and exceptional client service skills, with ability to build professional and respectful working relationships at all levels internal and/or external to the organization.
* Agile and flexible with ability to demonstrate openness to new challenges, opportunities, continuous learning, and able to easily adapt to change and lead other through change.
* Desire to leverage technology to solve business problems, and ability to teach and guide others on use of software, tool and processes.
* Strong critical thinking, problem solving, time management, organizational and analytical skills.
* Strategic awareness and effective project planning and negotiation skills with a high energy level and ability to balance and prioritize projects while leveraging others in order to complete daily responsibilities and projects.
* Ability to handle key assignments of confidential nature, maintain highly confidential information, and exercise a high level of confidentiality in all work products and communications.
* Ability to establish credibility, be decisive and resolve conflict.
* Work well independently and in a team with excellent interpersonal skills, and ability to get along with diverse personalities, exhibiting tact, professional attitude, maturity and flexibility.
* Ability to understand and strictly adhere to the quality standards and procedures established by Crowe, including brand standards and guidelines.
* Ability to function in high stress situations attributed to tight deadlines and multiple client needs or team needs.


* Able to work flexible hours and schedule including Saturdays and late evenings based upon project work and peak busy times.
* Ability to travel based on business need, training, meetings, etc.
* Estimate an annual average of 10-15% overtime.
